Scientific Program Manager I – Duke Human Vaccine Institute

Occupational Summary

The Duke Human Vaccine Institute is a large interdisciplinary organization with a goal to develop vaccines and therapeutics for HIV and other emerging infections. The Program Manager will be responsible for working with the DHVI leadership in the coordination, evaluation, and scientific management of post award activities for contracts and serve as a resource for DHVI investigators with management of pre-award activities related to the submission of contracts and post award management of research programs within the DHVI.

Work Performed
    Scientific Project Management o Manage and lead meetings to discuss the scientific progress and future directions of programs. o Make operational and project decisions that have an impact on the successful achievement of project strategies.o Collaborate with groups within and external to Duke to monitor progress reports and milestones. o Develop and define project goals and monitor and evaluate project effectiveness using qualitative and quantitative tools and recommend and implement modifications to improve effectiveness and meet project milestones. o Plan, coordinate, and administer activities of assigned projects to include developing and implementing procedures, processes, and systems; train employees in methods and procedures to ensure project continuity and completeness. o Develop project management plans using Gantt charts. o Proactively identify changes in work scope and ensure appropriate planning measures are taken with internal and external clients to reassess, renegotiate and amend scope of work responsibilities, proposals, contracts, and budgets.
Scientific Writing o Manuscripts, Contract Proposals, Quality Assurance Site Reporting, and NIH Contract reportingo Assist with collecting, assembling, and summarizing scientific and clinical data in reports/presentations. Collaborate with statistical team and project manager to develop study and analysis plan for data.o Assist with drafting project proposals, including operational requirements, pricing and schedules for projects.o Ensure contract reporting requirements are completed and submitted in accordance with the deadlines for each program. o Draft reports for proficiency testing outcomes including site specific reports and summary reports for the NIH. Communication o Serve as primary liaison with proficiency testing sites, sites interested in receiving/sending viral isolates and/or source materials, other programs, regulatory/compliance offices and departments at DHVI to coordinate projects to accomplish program objectives; interface with external organizations as appropriate to ensure cooperative efforts, positive progress, and project success. o Assist with logistics of specimen transfers and shipping i.e. MTA, import permits, commercial invoices etc.o Plan, lead, and facilitate regular cross-functional project team meetings.o Assist in developing communication plans with the project team. Proactively assess and analyze with the team, any risks and issues that may compromise project results and develop plans to remove or mitigate them. Monitor schedules and risk management plans and provide warnings of serious deviations or variations that may compromise project results. o Ensure required project data and information is regularly communicated to the project teams; generate and issue regular internal and external project reports. o Coordinate conference calls and meetings with project sponsors and collaborators. Take and distribute detailed minutes from calls and meetings for review and modify minutes based on comment.o Perform assignments deemed necessary by the Principal Investigator or Program Management Leadership.

Required Qualifications at this Level
    o Education/Training Bachelor's degree. Additional training in Project Management or related training is desired.o Experience: Two years of experience in project management, with increasing scope and independence. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Preferred Qualifications
    o Education/Training: Post-graduate degree is strongly desired but not required. o Experience: A background in virology or immunology is desired. Additional training in Project Management or related training is desired.
