Department Summary:

The Department of Materials Science and Engineering has a mission to provide a high quality education to our diverse student population through excellence and innovation in teaching and research in order to serve the scientific and engineering needs of the state of Texas and the nation. This will be achieved by a balance of formal course work, practical laboratory training, and research projects that encompass both the basic science and the applied aspects of materials science and engineering. The department offers B.S., M.S. and Ph.D. in Materials Science and Engineering programs.

Position Overview:

Supervise, maintain and make decisions for the operation of the Department of Materials Science & Engineering administrative office. Oversight department budget (including reporting and forecasting), purchasing, travel, human resources, and property control functions. Maintain accurate financial records, process all transactions on departmental accounts and prepare expenditure projections. Help department Chair in maintaining calendar and administrative activities, including correspondence, data compilation, preparation of reports and related responsibilities. Help students on their non-academic issues such as health insurance, visa, etc. Help faculty with their travel and reimbursements. Prepare and maintain payroll. Keep track of, and enter time for department employees in the online system. Prepare paperwork for new faculty and staff hires.

Minimum Qualifications:

Bachelor’s Degree and three years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

• Advanced written communication skills.
• Advanced Microsoft Office skills.
• Knowledge of accounting/budgeting procedures.
• Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
• Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Ability to conceptualize, plan and organize multiple programs and assignments effectively.
• Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
• Skill in developing and maintaining good working relationships.
• Knowledge of policies, practices, procedures and terminology of assigned function.

Monday thru Friday with overtime as needed
