Vice President for Administration

Job Purpose:

Serve as member of the President's Cabinet; the VP leads, plans, manages, organizes, and evaluates University administrative operations, systems, and processes including: facilities management; maintenance; security; human resources; retail management; general support services including mail and copy room; purchasing, risk management, and other related operational functions. Reporting to the President and working closely with other members of the President's cabinet, plays a key role in the implementation of the University’s strategic initiatives, partnerships and fulfillment of the University goals.

Duties:

  1. Serve as member of the President's executive staff, participating in discussions, decision-making and policy making
  2. Provide highly responsible organizational and staff support to the President's Office and Board of Trustees particularly as it relates to administrative issues
  3. Support the implementation of the campus master plan, space utilization studies and environmental analysis, deferred maintenance and sustainability initiatives
  4. Ensure institutional effectiveness in the leadership and formulation of strategic and operational goals in reporting departments
  5. Manage the divisional budget, assist with identification and prioritization of equipment needs and purchases for assigned program areas; monitors expenditures
  6. Oversee auxiliary services and plant operations including construction and renovation projects
  7. Provide active leadership to division functions and on-going supervision and evaluation to all divisional staff
  8. Provide direction of workload and task assignments for all divisional offices to ensure successful and timely completion of all work
  9. Develop and maintain policy and procedure manuals related divisional programs and services; ensure that all departments also create and maintain these manuals
  10. Work closely with the IT Department for successful implementation and use of the institutional information system software throughout the division
  11. Evaluate and oversee the University’s risk management services
  12. Represent the University to all appropriate internal, governmental and professional organizations
  13. Keep abreast of developments in higher education fields related to assigned functions
  14. Other duties as assigned

Skills:

  1. Must possess skills to be able to explain and demonstrate the essential functions of the position; demonstrated knowledge and experiences within all facets of Administration
  2. Ability to communicate ideas and information clearly and effectively at all levels within the University in English; must possess effective presentation skills
  3. Ability to meet deadlines and handle multiple complex projects
  4. Ability to manage complex divisional budgets accurately
  5. Demonstrated ability to use sound judgement in decision-making and problem solving
  6. Must be capable of maintaining confidentiality of work-related information and materials
  7. Demonstrated experiences in the administrative services, facilities, HR, and marketing areas
  8. Demonstrated ability to plan, prioritize, and problem-solve broad strategic initiatives
  9. Demonstrated ability to work effectively with a diverse group of professionals, students and parents, community members and constituencies
  10. Ability to lead, inspire, supervise and evaluate staff in an effort to meet institution and division goals and objectives
  11. Demonstrated competency and experiences in the application and implementation of technology in a University environment
  12. Demonstrated proficiency in the use of standard software applications
  13. Knowledge and/or experiences in the usage social media in higher education
  14. Ability to work occasional evening and weekends and travel as required

Experience and Education:

  1. Bachelor’s degree required from an accredited institution in administration or related field required; master's degree preferred
  2. At least 5 - 8 years of progressively responsible leadership experiences in higher education in administration, particularly areas related to the scope of the position
  3. Background in the application of technology for administrative processes as well as for supporting teaching and learning
  4. Experiences in the implementation and management of capital projects
