LOCATION: Green Bay Campus

STANDARD HOURS: 37.5 hours per week; Monday-Thursday 10:00am-6:00pm; Friday 8:30am--4:30pm. Summer and break hours- Monday-Friday 8:30am-4:30pm; Non-standard hours may be required based on customer need.

MINIMUM STARTING RATE OF PAY*: $21.37/hour

*Current benefit eligible employees will be placed within the pay range based on their current rate/range.

POSITION SUMMARY

Provide administrative support to department teams. Manage the scheduling process including course creation, curriculum modifications, class data entry into a database system, and processing course agreements.

Essential Functions Statement(s)

  • Greet internal and external customers, in person or via phone and email, and serve as the liaison between the customer and the appropriate individual and/or provide customer with needed information.
  • Provide administrative support for various Trades and Engineering Technologies programs. May include creating recruiting documents, course creation, scheduling classes, modifying curriculum, monitor instructor hours, room scheduling and faculty course agreements. Post room changes and share schedule changes as necessary. Maintain forms, mailing lists, appointment calendars, record keeping, files, etc...
  • Coordinate and participate in various meetings/events; initiate calls and arrange all details including agendas, food, room scheduling, advertising etc. May be needed for note taking and meeting minute distribution.
  • Provide administrative support to the department leadership teams. May prepare reports, meeting minutes, presentations, outlines, budget, etc. Assist with making travel arrangements and reconciliation of charges.
  • Maintain program documentation records, process curriculum modifications, program orientations, quality reviews, low enrollment reports, extra section reports, etc.
  • Liaison for faculty and students when administrator is not present; provide back up for all department staff as needed.
  • Create/communicate instructions and provide training to instructors and department staff on new/changed procedures.
  • Main contact for absences, maintain adjunct list, contact instructor(s) for subbing as needed, notify students of class status.
  • Support the apprenticeships by Matriculating new apprentices into PeopleSoft, registering apprentices for their paid-related instruction classes, maintaining apprenticeship files and entering apprentice attendance and maintain accurate attendance records
  • Other duties as assigned

SKILLS & ABILITIES

Education: Associate's Degree in Administrative Assistant, Business, or related degree
Experience: Three years related experience

**An equivalent combination of education and work experience may be considered.
