The Office of the Vice Provost for Research and Scholarship, Office of Research Administration (ORA) has a job opportunity for a Sr. Grant Assistant (Billing) at the Coral Gables Campus.

The Sr. Grant Assistant (Billing) works independently and is responsible for the submission of timely invoices of all Medical and Coral Gables - Office of Research awards. The Sr. Grant Assistant works with a high level of accuracy and control in order to submit invoices as specifies by the awarded agency. This position plays an important role in post-award compliance in providing support to ensure that budgets are not overspent, grant periods are adhered to, costs are allowable under the grant and accounting records are maintained in good order and for the proper time.

  • Reviews contract in order to set up billing schedules on all Medical and Coral Gables, Clinical, fixed and Cost Reimbursable contract.

  • Prepares invoices based on agreement, frequency, cost incurred, or deliverable/milestone.

  • Submits invoices based on sponsor identified channels.

  • Acquires and maintains a thorough working knowledge of policies and procedures affecting preparation of invoices.

  • Generates refund request for return of unexpended balance to agencies.

  • Monitors payments to prevent Accounts Receivable issues.

  • Works closely with internal and external customers on all questions or concerns related to the submission of invoices and or all other necessary issues, to obtain details needed in the preparation of reports required by some agencies.

  • Prepares close-out reports included, but not limited to SF425, Property, inventions, DOE399, etc.

  • Answers all inquiries from agencies, departments, and other areas of the University regarding invoices.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS

Education:

High School diploma or equivalent. Associates in Business, Finance or Accounting preferred.

Experience:

Minimum 3 years of relevant experience. University research administration experience preferred. Any appropriate combination of relevant education, experience and/or certifications may be considered.

Knowledge, Skills and Attitudes:

  • Ability to work independently with minimal supervision

  • Demonstrated knowledge of Federal regulations related to Research Administration, including Uniform Guidance, Cost Accounting Standards, Federal Acquisition Regulations, and major Federal funding agency guidelines.

  • Excellent computer skills and facility with using MS Excel (sorting, pivot tables, filtering, basic formulas).

  • Excellent mathematical and analytical skills.

  • Excellent communication skills.

  • Ability to translate and summarize numbers into an understandable narrative to others.

  • Ability to communicate effectively with a diverse group of individuals and in both oral and written form.

  • Demonstrated experience using institutional systems.

  • General knowledge of office procedures and operations.

  • Skill in data entry with minimal errors.

  • Ability to accurately prepare and maintain records, files, reports and correspondence.

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

  • Ability to process and handle confidential information with discretion.
