Requirements

Program Coordinator, Department of Microbiology & Immunology - Georgetown University Medical Center

The Program Coordinator supports the Department of Microbiology and Immunology's academic, instructional, student life, admissions and administrative aspects of the graduate programs in duties that include assisting with recruitment; admissions; monitoring the academic progress of all graduate students, monitoring merit-based aid, alumni and career services outreach efforts, program administration including faculty and program support, and organizing special events for program purposes.

Reporting to the Directors of Graduate Studies, and working closely with the Office of Biomedical Graduate Education (BGE), the Program Coordinator has duties that include but are not limited to:

Academic Affairs
  • Serves as primary point of contact for approximately seventy graduate students.
  • Advises all graduate students, faculty and staff on Graduate School and University on academic policies and procedures.
  • Monitors graduate students' academic progress.
  • Reviews and makes a determination on all graduate student pre-registration requests.
  • Intakes and reviews student forms, such as leave of absence and add/drop slips, for completeness and accuracy.
  • Monitors and coordinates the submission of all reported grades for these programs.
  • Reviews student transcripts for accuracy.
  • Organizes department program specific academic and graduation events.
  • Prepares academic reports from Cognos and other sources as required - e.g., Registered Student Listings, General Student Listings, Course Rosters, and Exception Grade Reports.
  • Generates academic reports for Program Directors and the Department Chair as requested.
  • Monitors and works closely with Office of Global Services to ensure that the program complies with all federal government policies for international students.


Admissions
  • Reviews application credentials for completeness and GPA/TOEFL/GRE requirements and verifies transcripts.
  • Communicates with applicants to verify continued interest in program of interest and follow-up to request missing credentials.
  • Assists Directors in conducting applicant interviews.
  • Distributes completed applications for admissions review.
  • Performs data entry of admission application decisions into Banner.
  • Responds to prospective student inquiries via phone and email.
  • Assists with BGE recruitment initiatives, including traveling to graduate fairs and following up with prospective students via phone and email.
  • Conducts informational interviews with prospective students.
  • Schedules prospective student visits.
  • Organizes program specific admissions events.
  • Oversees the marketing of the graduate programs in the Department of Microbiology & Immunology in conjunction with the Office of Biomedical Graduate Education.
  • Generates admission application reports from Cognos to monitor progress of program application decisions.
  • Generates applicant reports for Program Directors as requested.


Program Administration

Program support
  • Maintains department/program websites.
  • Reviews and edits department course schedule each term; reserve rooms for courses and events.
  • Distributes course schedules for Director, Chair and BGE review.
  • Reviews and edits course descriptions in CourseLeaf.
  • Distributes faculty evaluations.


Faculty support
  • Provides resources to faculty with Blackboard.
  • Arranges travel itineraries for department adjuncts for lecturing or interviews.


Financial support
  • Reviews all submitted receipts and financial paperwork for completeness.
  • Generates financials documentation including expense vouchers, reimbursements, and computer requisitions.
  • Reconciles personal procurement card statements.


Outreach

Career services
  • Serves as liaison with BGE Office of Career Services to promote and support career options for students.
  • Reviews and advises students on resumes and cover letters.
  • Distributes career placement opportunities to students.


Alumni services
  • Serves as liaison with alumni for networking opportunities.
  • Maintains internal alumni database.
  • Organizes alumni participation at the Strategic Career Seminar.
  • Organizes annual alumni reunion.


Collateral
  • Serves as primary contact for the Office of Biomedical Graduate Education, Graduate School of Arts and Sciences, Office of the Registrar, and Office of Global Services.
  • Collaborates with other biomedical graduate programs and BGE to create and implement methods of promoting the programs and BGE; student life activities; and opportunities both internal and external.
  • Serves on University committees related to admissions, academic affairs and student services for graduate students as requested.


Qualifications
  • Bachelor's degree - preferably in Business, Management, Communications, or related fields
  • 2 to 4 years of academic administration experience, preferably in the biomedical sciences field
  • Demonstrated administrative and computer experience
  • Experience in database management, Microsoft Excel, Word and PowerPoint
  • Excellent organizational, interpersonal, and problem-solving skills
  • Supervisory and management skills
  • Ability to multitask
  • Attention to detail
  • Ability to maintain confidentiality of data and information


Preferred qualifications
  • Experience with university systems such as Banner, Slate and Cognos
  • Experience with website maintenance
