Under general direction, facilitates various services provided for students in a particular school of the University, which may include admission, registration, advising, recordkeeping, or graduation; implements appropriate academic policies and procedures; prepares and maintains databases; prepares reports and publications; gathers and maintains accurate and confidential records and files including financial; performs word processing duties

Position Overview:

The University of North Texas at Dallas invites applications for the position of Financial Aid Facilitator.


This is senior level administrative and professional work for Student Financial Aid
and Scholarships. Responsibilities include the facilitation of the Financial Aid Management System (FAMS) as well as the management of the integrated components linking the Student Financial Aid and Scholarships, Accounting, and Payroll. This facilitator is expected to make daily operational decisions independently and decisions which affect the office under the general supervision of the Director and Associate Director of Student Financial Aid and Scholarships.

Responsibilities of this position include but are not limited to:

  • Coordinates all internal activities of Student Financial Aid and Scholarships.
  • Assists the Director and Associate Director in planning, implementing, evaluating, and controlling assigned functions of the Student Financial Aid and Scholarships.
  • Assists in implementing and evaluating all office procedures and policies to ensure compliance with all Federal, state and institutional guidelines.
  • Oversees the loan processing, cash management, loan collections, scholarships processing, and Grant programs sections of the Student Financial Aid and Scholarships office.
  • Maintains statistical data reflecting office activity.
  • Assists the Director and Associate Director in preparation of bids and contracts for various financial aid automated services.
  • Develops and updates user documentation for computerized systems; develops and implements training documents for software systems.
  • Provides counseling and advice to students who have difficulty understanding the Student Financial Aid and Scholarships process.
  • Assists in managing the maintenance, retention, and digitization of records as required by federal, state, and institutional guidelines.
  • Works with immediate supervisor and the Office of Equity and Diversity to promote diversity within Student Financial Aid and Scholarships and to support existing university programs designed to create a welcoming environment for everyone.
  • Maintains a complete working knowledge of all policies, procedures, and regulations that affect financial aid administration.
  • Observes safety and security precautions appropriate to work performed.
  • Other duties and tasks as assigned by the Director and/or Associate Director.

Minimum Qualifications:

Bachelor’s Degree in administration or student services or related field and three (3) years of professional related experience in college or university Financial Aid operations or related field; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities:

•Considerable knowledge of fiscal policies, regulations, and financial aid programs of the University.
•Thorough knowledge of student financial aid systems.
•Ability to plan and direct large-scale projects and assignments.
•Strong written and oral communication skills.
•Ability to establish and maintain effective working relationships.
•Knowledge of safety and security precautions appropriate to work performed.

Preferred Qualifications:

The preferred candidate will possess the following additional qualifications:

  • Preferred PeopleSoft and lmageNow experience.
  • Five (5) years of progressive experience within a financial aid office.

M-F with some weekends
