The Program Coordinator works under the direction of the Director of Student Affairs and works closely with the Associate Dean for Student Affairs, Assistant Dean for Career Advisement, Career Advisors, Registrar and Student Affairs staff to coordinate the administration of the Student Affairs Programming, including planning, organizing, and evaluating class meetings, career advising meetings and program activities.

Responsibilities include, but are not limited to:

•Work closely with the Director of Student Affairs, Associate Dean for Student Affairs, Associate Dean for Career Advisement, Registrar, and Career Advisors to plan and implement the delivery and evaluation of the student advisement program and its activities in accordance with the mission and goals of the organization
•Prepare and continuously monitor and update program materials, schedules, and career advisor meetings
•Organize, plan, and implement student planning programming and resources for students
•Coordinate approximately forty annual school and class wide meetings
•Provide support for student affairs and career advisors as needed, including organizing one-on-one student-advisor meetings, mock interviews and CV and personal statement workshops.
•Coordinate advisement and track student interest in each department
•Educate students and advisors in use of the AAMC’s Careers in Medicine (CiM) web materials
•Work with the Career Advisors and Registrar to guide students through the residency application process; this includes tracking of application materials in ERAS, collection of letters of recommendation, and the coordination and compilation of elements of the Medical Student Performance Evaluations (MSPEs)
•Coordinate elements of the Medical Student Performance Evaluations (MSPEs) review process that fall within the purview of career advisement
•Work with the Office of Assessment to contribute to the Medical Student Performance Evaluation (MSPE) review process
•Track student interviews during 4th year residency application process and provide reports to the career advisors
•Track communication between students and their career advisor
•Work with the Coordinator of Student Leadership and Engagement to ensure a smooth interface between Career Advisement and student Specialty Interest Groups
•Develop new content for the Career Advisement website, inclusive of specialty specific resources, video interview tips and other digital resources as needed
•Work with the Assistant Dean for Career Advisement to develop an onboarding process for Departmental Advisors
•Coordinate all aspects of Career Nights in conjunction with Student Affairs, Career Advisement and Faculty Council
•Recognize issues of concern as they arise, track and follow up on program needs in the short, medium and long terms
•Assist with the preparation of program evaluation surveys, review and digest program evaluation data, and make recommendations to improve the success of the program

This is a full-time on-campus position.
Hours: Monday – Friday, 9:00am – 5:00pm, plus some nights and weekends.

Qualifications:•Bachelor’s degree required.
•Must have above-average organizational skills and attention to detail.
•Must be customer-service oriented and possess excellent oral and written communication skills.
•Must be able to work independently and manage and track multiple active elements of the program simultaneously.
•Must demonstrate the ability to be proactive, a high degree of judgement, discretion, and confidentiality.
•Must feel comfortable presenting material in a group setting.
•Must be able to work in a highly trafficked office environment.
•Must have extensive computing experience and demonstrate proficiency with MS Word, Excel, PowerPoint, Outlook and virtual meeting options, such as Zoom.
•Must be able to provide own transportation to and from off-site meetings.
•General knowledge of student advising or AAMC Careers in Medicine a plus.
•Master’s degree preferred.
•Early morning, evening, and weekend work may be required during busy periods.
