The Payroll Administrator is a key member of an inclusive, high-performing, and service-focused Finance & Administration team who provides payroll and financial support services to the college’s academic departments, research centers, outpatient clinics and units, as well as to college leadership. Under the mentorship of the Director of Finance, they will provide responsive payroll and financial support to the college’s diverse community of stakeholders. They will partner with college leadership to provide analyses to support data-informed management decisions.

The Payroll Administrator will manage all aspects of payroll for Sargent College and its dynamic community of 400 faculty, researchers, and staff. The Payroll Administrator will be responsible for Sargent's exempt monthly, non-exempt weekly, and student weekly payrolls to ensure consistent, timely, and accurate processing of payroll transactions. Using a collaborative and consultative approach, the payroll administrator will ensure payroll policies are adhered to and college-level processes are aligned with the University. This position serves as the main contact for Sargent College faculty and staff managing day-to-day payroll operations involving work across all central F&A units in the University, including HR, Payroll, and the Office of Sponsored Research.

Essential Functions:

  • Through initial analysis and projections processes all employee payroll for the College. Includes processing of Personnel Administration (PA) and Organizational Management (OM) forms in BUWorks as well as reviewing and approving weekly time entry. Responsible for tracking forms through workflow and ensuring all payroll is completed according to internal deadlines. Responsible for compliance with over base payment policies including forecasting payments and obtaining approvals from Provost, supervisor etc. Will be responsible for weekly payroll package and timely delivery of payments.

  • Manage student employment. Hire, terminate and implement appropriate merit increases. Ensure all student employees have completed required paperwork including the W4, I9 and direct deposit forms. Approve SAR mail codes on weekly basis. Ensure compliance with federal and state laws and University procedures and policies. Work collaboratively with student supervisors.
  • Support of the Research Administration team, Principal Investigators, and Academic Research staff through the careful submission, monitoring and reconciliation of cost distributions and expiration dates, salary changes, and position management. Experience working with Office of Research and/or PAFO is a plus.
  • Manage hiring process for all semester instructional support for academic programs. Work with departments to request all information, review spreadsheets for accuracy and enrollment requirements. Create positions and process hire forms in BUWorks. Ensure adherence to policies including forms required by Provost's Office and part-time faculty union contract.
  • Manage temporary employment process. Liaise with hiring managers to coordinate hires and terminations. Responsible for ensuring adherence to temporary employment policies.
  • Provide Business Analytics analysis to support data-informed management decisions. The right candidate will have opportunities to develop skills utilizing Business intelligence (BI) software, combining business analytics, data visualization, and data tools, utilizing best practices to help the College make more data-driven decisions.
  • Reconcile payroll on monthly basis to ensure payment accuracy and funding sources.
Required Skills

  • Bachelor's degree required
  • 3-5 years of related work experience
  • Ability to work with large quantities of data; strong analytical and Excel skills
  • Demonstrated experience managing complex University business systems to execute HR processes in BUWorks in an accurate and timely manner. Experience managing SAP business systems is highly desirable.
  • Strong data analysis skills. Comfort using data to help guide decision-making.
  • Appreciation and willingness to support DE&I initiatives.

The ideal candidate will be extremely organized, detail-oriented, ability to utilize discretion and sensitivity when dealing with confidential information, strong written communication skills, comfortable working under deadlines.
