Program Coordinator, O'Neill Institute - Georgetown University Law Center

The O'Neill Institute for National and Global Health Law at Georgetown University was established in 2007 through the generous philanthropy of Linda and Timothy O'Neill to respond to the need for innovative solutions to the most pressing national and international health concerns. Housed at Georgetown University Law Center in Washington D.C., the O'Neill Institute reflects the importance of public and private law in health policy analysis. The O'Neill Institute draws upon the University's considerable intellectual resources, including the School of Nursing & Health Studies, School of Medicine, the McCourt School of Public Policy, and the Kennedy Institute of Ethics.

The Program Coordinator is the primary representative and administrative coordinator for the O'Neill Institute's Transformational Health Law Initiative and its portfolio of projects, as well as support the operations of the O'Neill Institute as a whole. Reporting directly to the Executive Director, and working closely with the Director of Financial Operations, the Program Coordinator has duties that include but are not limited to:

Project Management Support
  • Handles administrative logistics, including travel, events, convenings, meetings, calls, and other activities with a wide array of internal and external stakeholders.
  • Manages calendars and travel logistics to facilitate project work, including troubleshoot for logistical matters under supervision of Initiative Director.
  • Assists project team with daily operations and administrative needs related to project work and overall Initiative goals, to include tracking and assisting with managing many moving project pieces simultaneously.


Communication and Collaboration
  • Facilitates communication between project team and external stakeholders - such as sub awardees and subcontractors - to complete project deliverables.
  • Works closely with Communications Associate to publicize relevant events, publications and pertinent information.
  • Assists with outreach, invitations and event logistics for Initiative events.
  • Assists with stakeholder tracking and data entry related to maintaining a comprehensive contact management system.


Financial Coordination and Budget Tracking Support
  • Coordinates with third party consultants to register them as suppliers in the Georgetown University system.
  • Tracks invoices with prompt to follow up with partners to ensure smooth financial processes and transactions.
  • Reconciles procurement cards and processes expense reports for Initiative leadership, and coordinates expenses across multiple projects
  • Prepares and organizes information to accurately track project expenses for Initiative teams


Research and Writing
  • Facilitates Initiative projects by providing background research support, and drafts and copy edits tasks.
  • Supports Initiative goals by conducting background research related to potential funding opportunities.


Qualifications
  • Bachelor's degree
  • 1 to 2 years
  • Demonstrated interest in public health or health law, a basic understanding of the actors and organizations in the public health or health law space
  • 1 - 2 years of office management experience, preferably in a non-profit environment setting
  • Ability to manage calendars and handle scheduling requests
  • Experience with institutional communications, events management and logistics
  • Ability to work with changing priorities in a fast-paced, results driven environment across multiple stakeholders.
  • Proficiency with MS Office Suite
  • Working knowledge of both Microsoft Windows and Apple operating systems
  • Basic troubleshooting skills with Xerox photocopiers
