Associates degree in related field. Two years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.Nature & Purpose of Position:
Performs administrative assistant duties for the Facilities Business Services departmentPrimary Responsibilities:
Performs administrative assistant duties to include data and document processing. Provides general customer service. Responsible for acting as a liaison between Facilities Services and various university departments. Ensures excellent customer service standards and maintains high customer satisfaction. Takes incoming customer calls and dispatches technicians accordingly. Performs data entry, verifies data and files. Provides departmental or university information to students, departments, and staff. Compiles, tracks, and reviews data and reports. Keeps records of customer interactions, transactions, comments, and complaints. Researches and assists customers with inquiries, problems, and directions. Resolves customer concerns, complaints, and suggestions for improvement. Maintains maintenance agreements to include billing, scheduling, and renewals. Performs receptionist duties, directs phones and walk-in customers and schedules appointments. Runs standard reports. Solves routine problems to complete tasks of a repetitive nature. Receives and distributes mail. Assembles and organizes materials. Assists with renovation estimates, general questions, billing, cancellations, and other queries. Processes and monitors work orders, handles event scheduling, assists with Kat Tracks and fleet rentals. Performs other related duties as assigned.Other Specifications:
Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature.
