Overview

The Office of Technology Licensing (OTL) is responsible for the intellectual property protection, marketing and commercialization of Princeton University's inventions and software.

OTL has three primary missions:

  • To facilitate the translation of academic research into practical applications, for the benefit of society on a local, national and global basis
  • To support the research of Princeton faculty by generating funding for the University and facilitating partnerships with industry where appropriate
  • To educate and serve as a resource for the Princeton community on matters relating to entrepreneurship, intellectual property, and technology commercialization
  • Reporting to the Director of the Office of Technology Licensing, the Contracts and Business Manager is responsible for ensuring the efficient and effective execution of all aspects of OTL’s financial and administrative operations, including accounts receivable for license and legal reimbursement revenue, account reconciliations, distribution of revenue received, accounts payable, budget management, IT, data management, and projections.

    Additionally, the Contracts and Business Manager works closely with OTL licensing staff to negotiate research-related material transfer agreements and tracks and records all agreements executed on behalf of the university by OTL. The Contracts and Business Manager may have supervisory responsibilities for operational staff.



    Responsibilities
    Summary of Responsibilities:

    Work with the Contracts & Business Office Administrator to manage all aspects of OTL financial operations including:

      Overseeing the invoicing, tracking, receipting, recording and reporting for all OTL license and legal accounts receivable, including: analyzing royalty statements; interpreting agreement terms; docketing and tracking all option/license fees and milestone payments; initiating and approving general journal entries and internal transfers; monitoring all receivables and liabilities activity; producing regular financial analyses and reporting; liaising with licensees and internal parties to resolve receivables issues; and coordinating with internal and external parties to manage collection efforts.Manage the recording, tracking and analyses of patent prosecution and legal expenses in the OTL database;Maintaining and reporting accurate confidential financial records of license fees, royalties, patent reimbursements and other financial items, invoicing, receipt and disbursement of revenues in accordance with Princeton University’s Patent Policy, and payments to vendors.Drafting, reviewing, and negotiating material transfer agreements. (incoming and outgoing).Managing, maintaining and streamlining financial data.Organize and set priorities among a variety of complex tasks, including a high volume of regularly occurring work and a constantly changing array of special projects and calendar demands.Manage special projects including tracking key information relating to the licensing activity in Inteum/Minuet Web (OTL database)The Contracts and Business Manager must have the ability to prioritize multiple tasks within time constraints, anticipate and initiate appropriate actions, set priorities and monitor the progress of administrative assignments and project as they move through various stages.Preparing annual budget for OTL and monitor actual expenses and revenues.Monitoring compliance with license due diligence requirements.

    Qualifications

    Essential Qualifications

      Bachelor’s degree or its equivalent is required, preferably in accounting or finance.Minimum of four years related experience required.Knowledge of fundamental accounting concepts required, including excellent analytical skills and a working knowledge of generally accepted accounting principles.Must have excellent organizational skills and be extremely detail-oriented.Ability to be proactive and demonstrate initiative; ability to work independently and as part of a team.
    Must exercise high degree of discretion, tact and professionalism in confidential matters relating to intellectual property and human resources.Must have strong communications skills and the ability to work in a fast-paced, high volume environment.Must be able to work well with all levels of management, have a passion for excellent customer service, and a commitment to exceptional quality.Strong computer skills, with at least Intermediate level Excel skills required.Preferred Qualifications

    1. Experience working in an academic/university technology transfer environment is desirable.

    Knowledge of information technology and platforms relevant to the position.Knowledge of Princeton University internal systems including Prime, and PeopleSoft Financial and Purchasing System.
