Spartanburg Methodist College, founded in 1911, is a private residential liberal arts institution serving a diverse student population within the United Methodist Connection. Since its founding as the first co-op school in the nation, SMC has remained dedicated to its mission to connect education and employment. After over 100 years as an Associate Degree granting institution, the college launched its first bachelor’s degree in 2019. Today, the college’s emphasis on education and employment includes a unique professional development concentration comprised of eight required courses for students seeking associate and bachelor’s degrees.

Enrollment Advisor (SMC Online) Job Description

All employees of Spartanburg Methodist College are entrusted with assisting the College to achieve its vision and mission. Customer focus, college service, and a willingness to assist as needed are expectations of all employees.

Organizational Responsibilities: Reports to the Associate Provost for Online Strategy (APOS)

Job Summary: Make a difference in a student's life by giving them the information and service they need to decide SMC is the right place for them to further their education. Represent the college both on and off-campus to a prospective students and recruits academically qualified students for the online program at SMC in an energetic, effective manner. The Enrollment Advisor will discover the needs and concerns of prospects, demonstrate how our programs can best meet those needs, and support the prospective students through the admissions process to include registration completion and advising. Supports and works to enhance the professional and efficient operations, through coordination by the APOS.

Duties and Responsibilities:

  1. Provided detailed information about the admission process, focusing on graduation requirements, eligibility for various degree programs, overall details about procedure and polices, services offered in the college, available programs for students who are seeking for financial assistance.
  2. Assist in calling on corporate education officers and human resource directors.
  3. Attend recruiting opportunities deemed appropriate by the APOS.
  4. Troubleshoots and resolves customer service issues arising during the enrollment process.
  5. Maintains overall applicant/student pipeline with high attention to detail.
  6. Consistently performs to meet monthly performance expectations and team goals.
  7. Maintains a positive working attitude, supports team culture, and provides help to other team members as needed.
  8. Handles coordination of departmental events and assist office staff with events that are scheduled.
  9. Take an active role in marketing/advertising campaigns including ongoing social media efforts.

Recruiting Duties:

  1. Plan and implement recruitment activities.
  2. Manage all new inquiries by using a combination of outbound calling efforts and email communication and maintain a daily outbound call volume as set by the APOS. Must be comfortable with extensive customer outreach and post-inquiry follow-up by phone.
  3. Communicate effectively and continuously with prospective students/applicants/enrolled students to keep them involved in the final stages of the enrollment process until they successfully register for their first term.
  4. Answer applicant/student questions and addresses concerns and issues to prepare them to be successful students within the SMC Online learning environment.
  5. Achieve daily efficiency metrics pertaining to speed to lead, call volume, talk time, 1st time contacts, and new applications as established by the APOS.
  6. Utilize online communication via email and/or other technology-based communication media.
  7. Read, interpret, and evaluate prospective students' academic credentials and application materials to determine the potential for academic achievement and success at SMC and make admission/denial decisions according to SMC Online admissions requirements.

Advising Duties:

  1. Perform a preliminary transcript analysis to counsel the student on degree program options to fit his/her academic background and aptitude. Also, assist the incoming student with alternative credit options offered by SMC Online.
  2. Review and approve new student registration for prerequisites, overload and tracking.
  3. Assist students with special problems such as scheduling conflicts, waivers/substitutions, wait lists, prior learning credit, grade appeals, off-campus courses, withdrawals, etc.
  4. Expedite, process, and maintain all needed forms and records for new students (checklists, waivers, change of major, change of program, etc.) forwarding originals to the Registrar.
  5. Act as an academic advisor to prospective and newly accepted students to guide them through the enrollment phases.
  6. Prepare weekly reports to communicate individual efforts in relation to departmental objectives and assigned goals.
  7. Track and journal communications accordingly. Effectively follow departmental lead management guidelines for all leads.
  8. Actively participate in weekly meeting meetings being prepared to discuss performance data, prospective applicant concerns, and creative solutions to enhance team performance.

Recordkeeping:

  • Become familiar and navigate within admissions and advising modules of the CRM/ERP systems.
  • Facilitate daily business including appointments, meetings, ongoing maintenance of applicants’ files.
  • Track transcripts, trace missing documents and handle records accurately and efficiently.
  • Prepare complete permanent student academic files to be retained in the Registrar’s Office.

Skills, Knowledge and Abilities:

  • Prior sales and customer service experience preferred, but not required.
  • Strong organization and communication skills
  • Results-oriented and motivated by fast-paced environments.
  • Experience in academic recruiting and administration and/or marketing and media.
  • Proven track record for meeting recruiting goals/objectives.
  • Self-motivated and driven to exceed college enrollment goals.

Working Conditions: Work in well-lit, climate-controlled office; regular hours of work; some nights and weekends may be required.

Physical Requirements:

  • Manual and physical dexterity and visual acuity needed to operate a computer keyboard and handle paper documents.
  • Sufficient near vision acuity to read information appearing on a computer monitor, in handwritten form, and printed on paper.
  • Adequate hearing and verbal abilities to communicate effectively in person and remotely.

Education and Experience:

  • Bachelor’s degree. Master’s degree preferred.
  • Experience working in higher education environment.
  • Ability to meet strict deadlines, detail-oriented, and ability to prioritize work.
  • Ability to work with a diverse clientele and establish effective working relationships.
  • Ability to work on multiple projects with minimal supervision; demonstrated ability to take personal initiative.
