The main purpose of the Assistant Manager/Facility Services position is to ensure the Boston University Medical Campus buildings are kept in a clean, sanitary, functioning, and safe condition for the benefit and use of the University Community. This position supervises the 3rd shift custodial and maintenance union staff, monitors performance and productivity, trains the union custodial staff assigned to the Area, keeps inventory and orders supplies and equipment repair as necessary to maintain the usefulness of the buildings and the safety of occupants and staff. In addition, this manager possesses working knowledge of trade related issues in order to identify necessary work, and effectively assign and monitor tasks done by the union and contracted trade staff. This management position also evaluates effectiveness of chemicals and equipment for their specific facilities, and submits appropriate reports to Management staff regarding needs of the Medical Campus.
Specific Job Functions:
- Schedule and supervise union staff to ensure assigned tasks are completed in a satisfactory and timely basis. Tasks include touring facilities to monitor standards of cleanliness, staffing for event set-ups and maintaining any associated data bases, addressing maintenance needs, and arranging seasonal tasks such as cleaning sidewalks, gutters and snow removal. This position is the first responder for any issues to support building events, as set ups are completed on the night shift. Interact on a daily basis with various campus departments and groups regarding event site selection, set ups, estimates of work, and general event support. Coordinate work with other Managers to ensure consistent levels of performance and productivity to support appropriate building condition and operation. They are responsible for daily condition reports of building operating conditions, including minor repairs and any cosmetic condition needs. Monitor outside contractors, monitor and maintain all cleaning equipment and custodial supplies and secure assigned inventory. Monitor employee performance, attendance, and training/work capabilities. Work with other management staff and Executive Director regarding any disciplinary issues to ensure contract is administered consistently and appropriately. Review and authorize payroll time sheets.
- Inspect buildings for maintenance, cleanliness, and safety and fill out any associated maintenance requests utilizing department data systems. Review all safety equipment and egress for building occupants. Ensure all locking devices and operational systems are working properly and that all methods of egress are properly secured. Conduct elevator checks to ensure elevators are operating properly and report any problems. Initiate requisitions for maintenance and emergency work to be done and follow up to see that the work is satisfactorily completed, including safety protocols for the red bag waste in labs/clinics. Prepare status reports as needed or requested by management and Operational Control.
- Function as the primary liaison between building occupants and Facilities Management and Operations staff. On occasion work with BMC as a responder or manage services that are shared between BU and BMC. Receive and respond to requests and complaints from occupants. Screen such requests and submit reports, as appropriate, or initiate action to facilitate resolution of problems.
- In cooperation with Operation Managers, help to maintain heating, air conditioning, and lighting in accordance with federal guidelines. Monitor FSR assignments in buildings to ensure adequate services by the night shift staff. Requisition repair work as necessary to keep all related systems functioning properly. Participate as directed in the implementation of energy conservation programs.
- Prepare buildings for special events or classes as requested and in accordance with instructions submitted by requesting department. Interface with variety of internal and external customers to meet customer expectations and needs at facilities. Supervise furniture moves and special cleaning projects as requested.
- Tasks may include monitoring clinical facilities, research areas, dormitories, etc.
Bachelor’s degree preferred with 4-6 years’ experience in the custodial and/or trades fields managing staff, productivity, training, basic experience with plumbing/electrical/HVAC and floor care and operation of equipment/use of cleaning chemicals, with strong organizational skills.
- Experience estimating event/ classroom support costs for custodial needs.
- Must have exceptional professional and effective communication and customer relations skills.
- Set a professional example with work ethic, attendance and adherence to University policies and procedures.
- Must be detail oriented and organized, able to manage multiple events, work under tight deadlines while interacting with various departments.
- Proficient with Microsoft Word, Excel and Outlook
- Ability to learn and effectively use University data base systems for attendance, projects, etc.
- Must be able to communicate effectively in English, in both written and oral forms.
- Physically capable of personally touring a wide variety of facilities, requiring climbing stairs, ladders, entering mechanical rooms, lab and clinic areas, and being outside in weather extremes.
- Use all appropriate PPE for personal safety and for leadership.
- Maintain a professional, neat and well-groomed appearance.
- Work varied shifts, including weekends and holidays, as needed.
- Proof of eligibility to work in the United States.
ADDITIONAL JOB REQUIREMENTS:
Yearly: White coats ceremonies /classroom set ups/breakdowns; preparation for the closing and opening of school in both the academic and residential areas; special dormitory turn over cleaning projects.
Bi-Monthly: Meet with management staff, and Area Liaisons; schedule training and safety programs for union staff; conduct building tours and prepare condition reports.
Summer: identifying summer project needs for classrooms, Clinical and research space, special projects/deep cleaning.
Fall & Spring: Monitor exterior conditions; provide support for seasonal operations.
Winter: Snow removal operations as each storm dictates; intersession projects.
