Educational and Experience Requirement:

High School graduate or G.E.D. equivalent. Associates Degree in related field preferred. Two years of relevant clerical experience or experience in a related field. Experience with electronic medical records and insurance verification preferred. Proficiency in communicating in Spanish strongly preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position:

Performs complex clerical duties and specialist services for the Sam Houston State University Physicians Clinic.

Primary Responsibilities:

Performs complex clerical functions to include data and document processing and provides general customer service. Answers correspondence and types letters, memorandums, reports, and other materials. Performs data entry, verifies data and files, and maintains files. Performs receptionist duties, directs phones and walk-in customers, and schedules appointments. Runs standard reports. Solves routine problems to complete tasks of a repetitive nature. Receives and distributes mail. Assembles and organizes materials. Performs other related duties as assigned. Performs specialist duties. Delivers direct patient care as assigned. Performs testing and gathers information. Communicates with the provider and documents in the medical record. Manages medical inventory management. Maintain patient and staff confidentiality according to the Health Insurance Portability and Accountability Act (HIPAA) and the Family Educational Rights and Privacy Act (FERPA) regulations. Provides assistance and care for sick and injured patients under the direction of the Physicians and leadership staff. Rooms and interviews patients regarding their visit on their arrival in the exam room. Takes and records patients’ vital signs in the medical record. Maintains supplies, equipment, and pharmaceuticals as necessary. Maintains exam rooms and checks equipment between patient screenings. Records, on electronic health records, all pertinent information concerning the care, vitals, and medication. Assists with answering the phone and taking patient messages. May include blood draws, routine injections, obtaining specimens, and assisting with minor procedures under the practitioners’ direction. Plans, develops, implements, coordinates, and monitors programs or services. Assists in the development of policies, procedures, and guidelines. Coordinates and schedules appointments and activities. Interprets policies and procedures. Compiles, tracks, and reviews data and reports. Attends meetings. Prepares, reviews, revises, and distributes reports, documents, and correspondence. Performs other related duties as assigned.

Other Specifications:

Requires basic knowledge of general clerical functions. May require the ability to perform word processing. Requires accuracy in finding files, entering facts or figures, and operating of office equipment.

Maintains contacts with personnel. Requires general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature.
