The Director of University Events is responsible for the total event process: soliciting and developing, organizing, and facilitating all internal and external university events in support of the overall mission of Oglethorpe University. This position also oversees the university’s event rental business (for meetings, films, weddings, etc.) and summer camps. Day to day communication and interaction with internal Facilities, Catering Services, IT, and key stakeholders providing precise execution of all campus event-related operations.

Responsibilities:

  • Orchestrate a wide range of University and third-party events on campus as well as certain off-campus University events.
  • Maintain electronic master calendar of all internal and external events
  • Facilitate attainment of supporting net revenue goals from rental events while avoiding conflict with student activities and campus meetings/events.
  • Develop partnerships that provide opportunities beyond additional revenue for the campus community and aligns with the University’s mission
  • Ability to work with a variety of people and be a positive motivator
  • Problem-solving skills for various levels of stressful scenarios, changing priorities, and deadlines.
  • Establishes event goals and objectives to direct, plan and execute events in collaboration with campus community or external clients
  • Create best practices and processes to enhance event management and create consistent standards for campus
  • Determines fiscal requirements for events, prepares budgetary recommendations, and negotiates terms with vendors
  • Prepares pre-event briefs and post-event analysis to assess opportunities and make recommendations for improving events and services
  • Seeks out innovative and creative ideas for events
  • Provide stellar customer service to both internal and external constituents
  • Supervise student workers
  • Collaborate with various campus departments – Advancement, President’s Office, Admission, Campus Life, Athletics, etc.
Qualifications

  • Bachelor’s degree (or equivalent experience) and 5+ years’ experience in event planning (higher education or non-profit experience preferred).
  • Ability to initiate and manage contracts.
  • Management of client relationships from initial contact to post-event follow up.
  • Proven track record in sales and brand marketing as it relates to “selling the experience”
  • Budget and expense management and the ability to control costs and maximize net proceeds at department and per event level
  • High level of professionalism, hospitality, and entertaining etiquette. Experience in interacting professionally with senior leadership, high profile donors, and Board of Trustees.
  • Knowledge of Microsoft Office Suite essential, including Microsoft Excel and Word. Experience with an event management application preferred.

Successful candidates will be adept at managing multiple assignments to meet deadlines and work collaboratively in a self-guided environment

Work Environment / Physical Demands:

Normal office environment; job requires to work some nights and weekends for events in support of the University; typically sitting at desk or table, standing or walking, bending, crouching, or stooping; occasional lifting (25 – 50 lbs); use of normal office equipment required.
