Manages Academic Department Coordinators in fulfilling the mission of the Academic and Office Support group; sets the guiding principles and direction of the group and leads the group in achieving them; maintains a clear and productive vision for the relationship between coordinators' day to day work and overall functioning of the college's academic operations; strategizes about the best deployment and structure of the group in service of the college; trains new coordinators in the mission, guiding principles, and tasks of the CAOS group either directly or through delegation; hires and on-boards new coordinators; serves as liaison with Faculty Chairs and Dean of Curriculum to align coordinators' departmental work with overall college priorities and to maintain consistent, high-level support across academic departments and programs; ; acts as a spokesperson for the group in helping chairs and directors understand the appropriate role of academic coordinators; facilitates the educational mission of the college by providing guidance and training; deploys the group's skills and resources in providing administrative and technical support to departments across campus, including selective or temporary redeployment to meet staffing and operational needs; helps support departments and programs during the summer, when the majority of coordinators are not on duty.

Essential Functions:
• Prioritizes the duties of all academic coordinators and supervises their work.Works with college administrators to understand the mission and goals of the College, and aligns coordinators’ work in advancing that mission and those goals.
• Promotes a sense of community among coordinators, rooted in a shared sense of purpose and service to the academic program.
• Continuously improves academic and office support by collaborating with other offices on campus to identify and implement operational and technological efficiencies that intersect with academic departments. Serves on various cross-functional committees that have a direct impact on academic affairs.
• Evaluates the effectiveness of current processes and identifies opportunities for improvement.
• Organizes training sessions when new software or new procedures are implemented, and leads the group in embracing new technologies.
• Holds monthly meetings for coordinators to review processes, share training updates, exchange essential information from other areas on campus, and share information on professional development opportunities
• Identifies emerging issues, assesses how best to address them, and implement solutions to facilitate the group’s continued functioning.
• Develops a system for addressing time-sensitive administrative needs during the summer for departments without coordinators.
• Manages and supports coordinators and chairs/directors with departmental issues.
• Responsible for managing and conducting the annual performance evaluations with input from department chairs/directors.

• Manages the selection, interviewing, hiring, and training of academic coordinators with input from department chairs/directors
• Develops and maintains a system for orienting and training new academic coordinators and acculturating them to the group’s mission and principles.
• Approves coordinator timesheets (including overtime requests) and absence requests
• Meets monthly with the elected advisory CAOS Council to address issues, or new initiatives that directly impact academic departments.
• Performs occasional duties of Academic Department Coordinator as needed, and especially in support of the annual Clifford Symposium, and in helping to provide summer coverage.
• Develops administrative standards, initiatives, and procedures. Ensures that processes are documented.
• Determines staffing needs and directs workloads.
• Handles disciplinary procedures and resolves employee issues.
• Helps to define and implement short- and long-term strategic goals.
• Responsible for maintaining confidential information.

General Responsibilities:
Performs other duties as required.


Associates’ degree or equivalent experience required; Bachelor’s Degree preferred.

Knowledge, Skills and Abilities:
Must have good people management skills and ability to unite a group behind a common purpose. Must have good computer literacy, including ability and willingness to learn and use multiple, evolving software programs. Strong proficiency in Microsoft Office and file sharing required. Excellent writing and editing skills essential. Must work independently, prioritize essential tasks, and meet deadlines with frequent interruptions.

3-5 years of previous administrative office experience with evidence of aptitude for leadership and management; or 3-5 years of previous management experience with evidence of aptitude for administrative office work; or equivalent combination thereof.
