Departmental Overview

If you've ever caught the infectious enthusiasm of a student ambassador leading a campus tour, or felt your chest swell with Berkeley pride after reading about a world-changing faculty research project on Berkeley News, you've met the team at the Office of Communications & Public Affairs.

As the first point of contact for most visitors—online and offline—we tell the Berkeley story to inspire audiences and elevate the image of the university. We partner closely with various campus audiences—from the chancellor, deans and faculty members, to staff, students and alumni—as well as external media organizations who can amplify Berkeley's important contributions across a wide range of subjects.

Responsibilities
  • Manages, plans, and administers a full range of administrative operations in The Office of Communications and Public Affairs/G&CR, where operations are significantly complex and are broad in scope due to focus of operations (eg., media relations, strategic communications, senior administration communications).
  • Administrative operations includes financial management and budget planning, reconciling and approving all spending on purchasing credit cards, monthly ledger reconciliation, providing financial reports as needed, consulting with Human Resources, IT support, and project management. Also includes financial and budget planning for Government & Community Relations, part of Public Affairs.
  • Supervises 1 support staff within The Office of Communications and Public Affairs.
  • Performs administrative operations and project management activities as predominant focus of position, with accountability for operational and financial processes, human resources and space planning.
  • Contributes to the preparation of budget in coordination with managers and Chancellor's Office (parent office).
  • Applies advanced concepts to perform analysis to determine future resource allocations on projects.
  • Prepares short and long range planning for administrative services operations and improvement to processes.
  • Assists with hiring of student/work study employees, and facilitates job searches for career positions within department.
  • Assists in the planning, scheduling and coordination of digital, media and print projects that meet the communications/publicity needs of the department and of the Office of the Chancellor.
  • Maintains project management tool to coordinate the myriad moving pieces of each office project, of which there are several concurrently running.
  • Tracks and monitors budget expenditures for all communications campaigns. Establishes and maintains schedules for projects consulting with C&PA Senior Leadership Team.

Required Qualifications
  • Advanced knowledge of or ability to quickly learn University rules and regulations, processes, protocols and procedures for budget, account and fund management, personnel management.
  • Advanced knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees.
  • Knowledge of or ability to learn common University-specific programs including UCPath, CalPlanning, CalReporting, ServiceNow, UC Telecomm Catalog, bluCard and Event card systems.
  • Advanced knowledge of a variety of administrative operations activities such as events planning, risk management planning, accounting and payroll.
  • Advanced interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, collaboration to best meet goals, advising and counseling skills.
  • Advanced skills in short and long term strategic planning, analysis and problem-solving and customer service.
  • Time and project management skills to effectively establish priorities and meeting competing deadlines.
  • Strong skills in originating and maintaining databases for desktop publishing and image storage.
  • Ability to handle small to large multiple projects simultaneously.

Education/Training:
  • Bachelor's degree in related area and/or equivalent experience/training.

Salary & Benefits

This is an exempt, monthly paid position. Annual salary is commensurate with experience.
