The University of Virginia seeks an Administrative Assistant to join Applied Math in the Department of Engineering and Society, within the School of Engineering and Applied Science. Applied mathematics is a branch of mathematics that deals with mathematical methods that find use in science, engineering, business, computer science, and industry. We are a friendly group of faculty who work together as a team to provide Applied Math instruction to our undergraduate students. Our assistant will be an important member of the team.
The Applied Math (APMA) Administrative Assistant will support both faculty (12 full-time) and students. The hours that would best meet our needs are 8:00am – 12:00pm, Monday through Friday. The APMA Administrative Assistant will be responsible for student and faculty support.
Student support functions include greeting and directing students in the Small Hall office suite; assisting with coordinating and proctoring makeup exams or exams for students with accommodations; coordinating the selection of graders/assistants and providing the necessary and appropriate notifications and communications with both the selected and the unselected applicants throughout the process; handling payroll interactions for student graders and assistants; coordinating the APMA Workshop records. Other student support tasks will arise from time to time.
Faculty support functions include managing heavily-used copiers (paper supply, maintenance, repair); making copies of handouts, quizzes, tests, and final exams for faculty as requested; ensuring all exam copies are secure; procuring and managing necessary and appropriate office supplies; managing email lists for various APMA communities; scheduling meeting times and conference rooms as requested; placing textbook desk copy orders and managing records for checkout and return of same; and preparing and submitting expenses for reimbursement. Other faculty support tasks will arise from time to time.
A High School diploma with at least four years of relevant experience is required. A Bachelor’s degree may substitute for experience. A successful APMA Administrative Assistant must enjoy interacting with students and be comfortable multitasking and working in a busy, loud, and crowded office suite. The assistant must be reliable in both attendance and in completing assigned tasks. The assistant must be proficient with Excel spreadsheets. Knowledge of how to hire student wage employees in UVA Workday is a plus.
**This position is 20 hours a week.**
