Accounts Payable Specialist
POSITION SUMMARYThe position of Accounts Payable Specialist will ensure accurate and timely payment of university obligations under the leadership of the Director of Procurement Services. The Accounts Payable Specialist will also provide support to university departments regarding purchasing functions.
DUTIES AND RESPONSIBILITIESTRANSACTIONAL RESPONSIBILITIES
· Process Web Payments· Enter vouchers into Colleague (including recurring vouchers)· Research questions on invoices/statements and work with vendors/departments to solve problems· Process student refunds· Generate checks/ACH payments· Process requisitions into PO’s in Colleague· Manage PO receiving process· Process PO’s and Blanket PO’s into vouchers· Receive, sort, and distribute office mailVENDOR MAINTENANCE
· Update Vendor files (name and address changes) in compliance with IWU Data Integrity StandardsP-CARD ADMINISTRATION
·Issue and distribute new/reissued P-Cards·Provide training for departments/P-Cards holders· Manage and reconcile AP loaner cardsMaintain P-Card provider website· Change credit limits as authorized by CFODOCUMENTING IMAGING
· Ensure that all AP/Purchasing documents are scanned and linked according to Document Imaging Policies and Procedures· Assist in developing and maintaining Document Imaging Policies and Procedures for AP/Purchasing· Train all users of the AP/Purchasing Document Imaging ProcessesGOVERNMENTAL REPORTING AND OTHER YEAR-END
· Assist in preparing 1099-Misc tax forms for all qualifying vendorsCUSTOMER SERVICE
· Help develop good relationships with other departments· Research questions on invoices and work with vendors/departments to solve problems· Make hotel reservations for all approved overnight accommodations for campus visitors · Provide outstanding customer serviceINTERNAL CONTROL AND COMPLIANCE
· Review backup for all transactions to ensure compliance with internal controlsQUALIFICATIONS
