Position Highlights:

The Andrew Weil Center for Integrative Medicine (AWCIM) has an opening for an Administrative Assistant. The successful candidate for this position will provide office support for the Center’s On-Line Education area, reflect, evaluate, and report on Center’s online education performance, and support future planning, growth, and enhancements. Across offerings, but especially around new pilot programs and offerings (ie WLS, MWC, CanHEAL, IHM 401/501, as well as Online Offerings - stand-alone courses). This position will also provide Center staff support, as well as being very involved in AWCIM in-house Platform and UAccess system. This position will provide on-line customer service, schedule and coordinate meeting rooms, track and submit requests for supplies.

Duties & Responsibilities:

ContractingSupport

  • Submit work requests based on provided details forCourse-based projects, and faculty/mentoring needs of IHeLp, IHW Coaching, IHM401/501.
  • SME Contracts - process requests and communication with business office and contractors to ensure efficient process flow onboarding contributors.
  • Assist with Faculty-Mentor contracts for IHeLp and Mentor-Supervisor contracts for IHW Coaching.
  • Instructor support role contracts for IHM 401/501 (forum moderation, assignment review).

QualityAssurance/Testing Support

  • Review instructions for UX, grammar/typos,function issues, and other quality checks.
  • QA review post online course development - pre-launch (Online Dev Team support).
  • QA checklist Program and Unit pre-launch for Coaching, IHeLp, and WLS.
  • Test support for updates/new features/fixes to platform impacting online engagement, mobile app across device types, and new tools, offerings, etc. managed under Online Education team.

MeetingCoordination

  • Coordinate meetings for Online Education Director, and any meetingneeds of staff in Online Education team, Platform/IT team and Center staff.

CEEnduring Materials

  • Serve as OnlineEducation Customer Support.
  • Report on Center’s online education performance, and supportfuture planning, growth, and enhancements.
  • Provide support on with surveys, review and summaries.
  • Run student enrollment, retention, completion reports.
  • Assist with customer engagement, registrations, retentions.
  • Assist/coordinate program/accreditation process.
  • Assist with grant proposals and reports.
  • Coordinate/determine date/time that works for all stakeholders, establish room reservation, provide any materials, refreshments, equipment, etc.
  • Support the application process for various CE related to Online Education (enduring materials).

OnlineEducation Customer Support

  • Serve as point person to triage all incoming support tickets (AzCIM-org-tech).
  • Answer customer's questions.
  • Research customer situation and assign appropriate point person based on issue.
  • Alert customer of receipt of issue and research status.
  • Track response to customer occurs within a 48-hour window.
  • Follow-up with assigned staff as needed.

Wellness& Lifestyle Series Support

  • Assist with verification process, student communication, and admissions/marketing lead follow-up.

IHMCourse - Student Support

  • Provide faculty support - coordinate and communicate during forum moderation, assignment reviews, etc.
  • Track enrollments and communicate with OED.
  • Triage student communications.

PublicOffering Support

  • Support as needed - new Center offerings forthe public that are directed, designed, or managed by the OED or OE team (ie MyWellness Coach mobile app, the CanHEAL toolkit).

Minimum Qualifications:

  • Minimum of 3 years of relevant experience required.
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Excellent computer skills including proficiency in Microsoft Office Suite (specifically Word and Excel).

Preferred Qualifications:

*Experience with UAccess programs.*Experience with CME/CE.*Experience with Independent Consultants.*Strong communication skills both written and verbal; excellent attention to detail, skilled multi-tasking ability, demonstrated commitment to follow-through of assigned tasks and projects, and exceptional customer services skills.*Ability to utilize critical thinking skills and judgment in problem-solving and decision-making, or escalating issues as needed.*Good interpersonal skills and collegiality; ability to work independently and as part of a team.
