Job Summary

The Administrative Assistant position for the Disability Resources Center (DRC) and Counseling And Psychological Services (CAPS) Units is the foundation of the co-units' service desk support. The hired staff member will provide high-touch (high human interaction) support to our community of students, faculty, and staff. Our Administrative Assistant staff maintains a consistent focus on our customers' needs by developing and demonstrating proficiency in performing general front desk reception duties. They resolve customer service requests by providing timely, high-quality resolutions on first contact and follow through on those they cannot resolve, collaborating with the supervisor at the Unit to deliver a solution. The ideal candidate understands the importance of empathy, active listening, and accountability when working with customers to deliver viable solutions. The successful candidate will also have prior phone, virtual and in-person support experience, and a working understanding of student-centered endpoints. Duties for this position include, but are not limited to:
  • Monitor incoming calls, and respond to customer requests for both CAPS and DRC.
  • Staff service desk and address walk-in customer needs in a timely, professional manner.
  • Provides knowledgeable technical support via the phone, walkup, and virtual environments such as Microsoft Teams.
  • Perform basic event support.
  • Takes ownership of customer issues from first contact, assuring that the customer knows the person receiving their issue or request is dedicated to assisting them. Seek help from colleagues and escalate to senior specialist(s) until an issue is resolved.
  • Accurately record customer issues. Maintain and updates support documentation to assist in information sharing within the team.
  • Acts as an ally to all other members of the support team, by being approachable, sharing, and friendly providing whatever aid possible to assure that customer issues are being addressed in timely and precise manners.
  • Participates in small-scale student-related deployment and operational projects.
  • Organize and coordinate workload independently among constant deadlines and shifting priorities.
  • Process student accommodation requests in a timely and properly documented manner.
  • Following department guidelines interview, hire and process accommodation providers such as, but not limited to, notetakers, scribes and proctors
  • Works within the guidelines provided in all policies and procedures.
  • Be availability to work during all DRC/CAPS service hours, including non-standard business hours, and may be called during off hours.
  • Ensuring phone, virtual environment, and desk coverage.
  • Process payroll and document for budget
  • Maintain and report all data required for evidence-based requests.
  • Utilize empathy, active listening, and de-escalation skills in working with customers in distress.
  • Follow protocol for notifying supervisor and clinician of customer in crisis.
  • Understand and comply with HIPAA and FERPA laws.
  • Other duties as assigned—other responsibilities may be assigned by the supervisor as warranted by business needs—thus incumbent is expected to do all assigned responsibilities.


Minimum Qualifications
  • Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience.


Preferred Qualifications
  • Associate's Degree in Business or related area.
  • Minimum of 1 year of experience working with individuals with documented disabilities.
  • Previous experience with case management software and/or student information systems.
  • Communication skills (i.e., fluent in ASL (American Sign Language), Spanish.
  • Must possess superior written, oral and interpersonal communication skills with a demonstrated dedication to customer service.
  • Proactive problem-solving skills and ability to work in a high-traffic, fast-paced environment where deadlines are respected.
  • Demonstrated experience/aptitude to quickly learn and retain institutional knowledge.
  • Experience working with the population of individuals with disabilities
  • Demonstrated problem solving skills.
  • Proven knowledge of the application in Microsoft Office Suite (e.g., Microsoft Word, Excel, PowerPoint and Outlook).
  • Proven organizational and time management skills.
  • Proven experience dealing with confidential and sensitive information.
  • Proven experience working with ADAAA, Section 504, FERPA or similar federal, state or local mandates.
