01-Mar-2021 Close All Job SummaryThe University of Colorado Boulder and the Graduate School encourages applications for a Data Science Graduate Program Advisor who will manage the program’s master’s students, including Coursera-based degree students (Coursera), and in-residence professional students (Professional Master’s Program - PMP), as well as the students in a campus-based online degree (online). This position is responsible for proactive outreach and communication to these students. The incumbent informs and advises students of their degree milestones and monitors their progress towards fulfilling them; advises students about the nature and content of the program’s curricula; helps prepare students to take advantage of professional development, and community-building opportunities; informs students and faculty of how to navigate systems, academic processes, and policies at CU Boulder; encourages students to become contributing members of the CU community; assists in the recruiting, admitting and onboarding of new Coursera/PMP/online students through the annual admissions cycle; develops and executes marketing and recruiting strategies in collaboration with the program’s Faculty Director and student services staff, and prepares students to become future leaders in their field.
This program is committed to developing collaborative, student-centered relationships between graduate program advisors and students that support the achievement of academic success, promote personal and professional development of students, and foster a sense of community for our program students. The advisor supports the student through a developmental, student-focused approach. This position is charged with developing and implementing advising strategies and interventions to enhance the performance and persistence of students and support the graduate education mission of the data science program more broadly by supporting the faculty who oversee the data science graduate programs. This position has a regular student caseload and contributes an expanded role by performing elements of service to the Graduate School and/or campus graduate advising community.

  • Perform academic advising for Coursera, PMP, and online students within the program, consistent with current advising standards and protocols.
  • Tracking student progress by maintaining student records.
  • Maintain and update degree plans, advising Coursera/PMP/online students regarding academic requirements and options for completing them, staying current regarding changing curriculum. Utilizes degree audit system as appropriate.
  • Review and process student requests, including but not limited to transfer of credit requests, requests for exception to policy, Bachelor ’s-Accelerated Master’s student forms, and graduation forms/processes. Distinguishes between routine cases and those that require faculty involvement.
  • Help students with course registration issues as needed, including requests for late registration/changes or leave of absence.
  • Serve as Coursera/PMP/online student liaison with the DS staff and faculty, presenting student petitions, as needed.
  • Serve as the first point of contact for current students with questions or concerns. Assists students with problem-solving and campus resources. Escalates appeals or grievances to faculty director as appropriate.
  • Work closely with graduate advisors and/or graduate program assistants in Applied Mathematics and Computer Science, sharing program concerns and communicating information and issues back to the program as needed.
  • Serve as liaison with the Graduate School on all aspects pertaining to the program’s Coursera/PMP/online students.
  • Track Coursera/PMP/online student progress with respect to program achievements. Recommends corrective actions for these students who are not meeting program goals or requirements. Works as a liaison with Graduate School regarding graduate academic standing issues and academic recovery plans.
  • Proactively tracks, contacts, and works with special student populations (e.g., students in academic difficulty, non-traditional students, student parents, members of underrepresented groups, etc.) and raises critical issues to faculty and/or school, college, and campus resources.
  • Counsel current students, faculty, and staff on policies, procedures, rules, regulations, and graduation requirements/processes of Coursera/PMP/online degree programs. Understands and applies differing rules for Coursera students and PMP/online students. Is deeply knowledgeable about the program, Graduate School, and university-wide policies and procedures and how to apply them consistently to different circumstances.
Recruitment, Marketing, and Communication
  • Collaborate with Program & Marketing Coordinator to ensure information on the program’s graduate program website is accurate, compelling, and up-to-date. Keeps recruitment materials up to date.
  • Collaborate with Program & Marketing Coordinator to develop marketing materials for distribution to prospective students, alumni, industry, and other partners.
  • Work closely with the Office of Admissions graduate recruiting team to coordinate recruitment efforts.
  • Coordinate with the program marketing team and faculty to implement marketing and recruitment campaigns that have both national and international outreach.
  • Work closely with the Faculty Director and industry partners to seek opportunities for the recruitment of PMP students from the industry.
  • Work closely with undergraduate advisors in approved BAM programs, as applicable, to share information on the program’s PMP/Online BAM programs and requirements and to recruit students to these programs.
Admissions
  • Serve as the main contact for all applicants to the Coursera/PMP/online programs and guide applicants through the entire application process while advising prospective students about program offerings and the requirements for admittance into the program’s graduate degree. Connects applicants to relevant school, college and campus resources/programs as needed.
  • Assist in implementing PMP/online and BAM admissions review process and tracks applications received. Takes instructions from Faculty Director, steering committee, and/or admissions committee on any final Coursera/PMP/online admission decisions; coordinates final degree admission decisions with the Faculty Director.
  • Inform the faculty adviser about individuals from underrepresented populations in the applicant pool.
  • Work within the application system to manage all stages of applicant processes, including notification to applicants of acceptance or non-acceptance to PMP/online degree programs.
  • Serve as liaison to Graduate School and admissions teams related to admissions system/website updates for degree offerings.
Administration
  • Design and determine the process for gathering, maintaining, and analyzing Coursera/PMP/online statistics and recruitment data regarding applicants, matriculates and graduates, and benchmarks against peer programs.
  • Track recruitment, retention, and performance of women and underrepresented minorities in the Coursera/PMP/online program and inform the Faculty Director of relevant trends and share information about fellowship opportunities for all students.
  • Design and determine the process for Coursera/PMP/online student orientation, working with faculty members, staff, and the Graduate School.
Other
  • Participate in professional development activities.
  • Support the data science program with their events, talks, diversity and inclusion efforts and other projects as needed.
  • Design and coordinate student-focused events to promote a sense of community and increase retention rates among current graduate students.
  • Help the program with other projects, where and when needed.

  • Bachelor’s degree from an accredited institution and one year of professional-level experience as an academic advisor, admissions counselor, or related program support at an educational institution, including experience with admissions and recruiting cycles and processes.
    • An equivalent combination of education and experience may substitute.

What We Would Like You To Have
  • Master's degree from an accredited institution.
  • Two years of professional-level experience as an academic advisor for graduate students in STEM fields in a college or university setting.
  • Two years of experience with admissions and recruiting cycles and processes.
  • Familiarity with graduate student admissions and recruiting cycles and processes.
  • Successful experience working with faculty.
  • Familiarity with the University of Colorado's student information systems.
  • Experience with software that handles on-line applications and CRM for graduate student recruiting and admissions (Slate).
  • Established skills and experience using technologies that support academic advising best practices.
