JOB SUMMARY

Under the direction of the Director of Graduate Student Administration, the Administrative Program Support 1 will provide day-to-day administrative support to the Graduate School.

DUTIES AND RESPONSIBILITIES

  • Provides general office support for the Graduate School, including answering phones, staffing the front desk, responding to inquiries, directing calls, mail delivery, and supervising students who provide front desk support; monitors office supply inventory and coordinates maintenance for office equipment
  • Assists in the management of central email boxes as primary resource for information for applicants, students, faculty, and staff and ensures professional, courteous and timely delivery of customer service.
  • Receives and responds to inquiries from students, staff, and faculty regarding Graduate School policies, procedures, and requirements by gathering information and composing routine correspondence; makes referrals to other Graduate School staff as appropriate.
  • Processes and maintains necessary paperwork, records and files required to support the program, including student records.
  • Provides administrative support for the selection and award process for predoctoral fellowships; doctoral travel awards; the dismissal process; graduate enrollment services; scheduling of hearings; and various student affairs events and programs, including Graduate Student Orientation.
  • Compiles data and prepares statistical reports used to monitor or assess department activities, programs, and services or project future needs; maintains department listservs and contact lists
  • Serves as recording secretary for the Graduate Faculty Council and Executive Committee of The Graduate School.
  • Assists with other programs, processes, or activities as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree
  • One year of related experience

PREFERRED QUALIFICATIONS

  • Strong knowledge and familiarity with basic software programs - Microsoft Office with advanced knowledge of Excel and Word
  • Customer service experience
  • Demonstrated ability to work independently and solve problems efficiently and effectively
  • Demonstrated ability to work collaboratively with individuals of diverse cultural, social and educational backgrounds
  • Demonstrated ability to communicate effectively through both oral and written means
  • Experience in a higher education setting
