Description:

The Promotions Specialist will work with the Advancement Promotions team to increase constituent engagement and philanthropic support. Working with alumni volunteers, a team of student interns, Advancement colleagues, and the College’s Communications staff, the individual in this role is responsible for managing content for a periodic publication and is in charge of developing and implementing the publication process from beginning to end.

This is a part-time, non-benefited position.

Responsibilities:

  • Oversee all logistics and processes related to gathering, organizing, and tracking content for an alumni publication with the emphasis on Necrology (obituaries) and Class Notes, and to include updates/highlights related to fundraising initiatives and events
  • Work with alumni volunteers – necrology writers, class presidents, and class correspondents – to obtain related content for the publication
  • Work with Advancement colleagues and stakeholders to acquire and prioritize content from their individual program areas
  • Manage a team of student interns, including writing job descriptions, recruiting, hiring, training, and scheduling
  • Coordinate and organize submissions from all contributors – confirm spellings of names and class years using the College’s alumni database, verify questionable information, and perform general editing and proofreading
  • Respond to general inquiries from alumni who call with promotions-related questions or post inquiries online, provide guidance as needed, or direct them to the proper person for assistance
  • Work with the Advancement Promotions team to ensure all standard review processes are followed  
  • With the Advancement Promotions team, assist in developing copy for Advancement initiatives
  • Become fluent with Associated Press and Hamilton College style guidelines
  • Provide budget estimates and track expenses
  • As project manager, ensure all deadlines are met
  • Other duties as assigned

Qualifications:
  • Bachelor’s degree or equivalent combination of education and professional work experience.
  • Demonstrated success in project management or relevant field.

Knowledge, Skills & Abilities:

  • Exceptional interpersonal skills and the ability to work with a wide range of personalities
  • Strong oral and written communication skills
  • Must have knowledge of promotion concepts and experience implementing integrated promotion initiatives
  • Must be able to prioritize duties and meet deadlines
  • Commitment to equity - has developed or worked with initiatives that serve underrepresented groups.
  • Desire to work collaboratively and build productive relationships with colleagues and constituents
