Position Summary

 The System Specialist, Cashiersand Student Accounting supports processes and applications in the College ERPsystem, as well as companion systems needed to ensure that those systemsoperate reliably for end-users (students and staff) as well as for reportingand other operational purposes. This position collaborates with other studentservice areas of the College as well as with Information Technology (IT) andother Business Services Departments. This role provides information, collectsdata and researches the financial transactions that occur in the Cashier andStudent Accounting billing and cashiering system.

ESSENTIAL JOB FUNCTIONS

Systems Testing &Technical Support

Provides technical support toensure critical functioning for student information systems and applications,which includes areas and functions invoicing students, third party payments ofstudents’ tuition, cash receipts, payment plans, refund processing, 1098-T reporting,Bookstore credits and the College Credit Plus program (State of Ohio programfor students in K-12 to take college classes). Collaborates with other SystemSpecialists and Functional Analysts and others across the College to resolvecross-functional issues, support coordination of processes, and studentcommunications. Sets up processes that will run overnight and on weekends,using a scheduling product. Participates in any cross functional systemprocesses.

Performs other system technologyenhancements in partnership with Information Technology division and othercollege departments. Participates in related project meetings, as needed andprovides information requested for such meetings. Develops in-depth knowledgeof student accounts and cashier function and recommends process improvementsbased on system functionality. Tests and applies student information system(SIS) upgrades and patches as necessary to ensure compatibility to existingsystem and services.

Actively looks for ways to improvethe experiences for our students and/or create work efficiencies through theuse of technology, both through the ERP system and outside of it, andcollaborates with other areas to document, test, and implement improvedprocesses or technology. Helps to develop processes to address new services orofferings or mandated changes.

Data Analysis, Reporting &Data Maintenance

Maintains and updates data andstatistics of student record information in College databases. Responds to datarequests and meets with involved parties to document data and reporting needs.Performs configuration tasks and set-up as directed. Applies data definitionsfor reporting. Provides analyses of data pulls. Assists in development ofpresentation documents, including graphs, tutorials and process documentationetc. Documents processes and shares with the department to enhance understandingand participation, as needed.

Systems Maintenance

Ensures that billing andregistration tables have updated tuition rates and other fees are accurate,that fees are applied correctly, website information is current and updatesself-service for students.

Customer Service

Communicateswith internal partners regarding student accounts and cashier systems.Interfaces with College departments and provides training in Student Accountsas requested or needed. Makes recommendations for any needed additionaltraining or communication needed based upon questions that are being asked byothers on campus related to the student accounts.

Other Duties andResponsibilities

Attends all required departmentmeetings, assigned meetings and trainings, presenting information as needed.  Hours may include occasional evening, night,and weekend hours.  Manages multipleassignments of varying complexity and meets tight timelines and deadlines.  Fosters and maintains a safe environment ofrespect and inclusion for faculty, staff, students, and members of thecommunity.

Knowledge, Skills and Abilities: Knowledge of: Ellucian Colleague or other student information system; FERPA; computer software, including the Microsoft suite, HTML/XHTML, SQL, and database management; and standard office practices and procedures.Skill in: operational analysis and troubleshooting technology systems; supporting program functions; computer programming and systems maintenance; complex problem-solving; multi-tasking; verbal and written communications; maintaining good public relations and customer service; general typing and operation of office equipment.Ability to: work independently, demonstrating initiative and follow through; effectively manage multiple tasks and activities; exhibit flexibility in work schedule and job tasks; collect data, establish facts, and draw conclusions pertaining to system operations problems and enhancement; appreciate diversity and work effectively with persons of different cultures and backgrounds; develop and maintain effective working relationships with associates, supervisors, job contacts, and the general public; handle routine tasks while maintaining a high attention to detail; exhibit a pleasant telephone manner; answer routine and complex inquires; maintain confidential and sensitive information; maintain accurate and complete work records; speak effectively in meetings. Maintains confidentiality of student records in accordance with the Family Educational Rights and Privacy and Higher Education Act.

Minimum Qualifications: Associates Degree in the relevant field.  At least one (1) year of work experience in a professional office environment.  State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
