Primary Purpose of Position:

The purpose of the Finance/Data Manager position is to provide financial, attendance, and records management at UNC Charlotte’s lab school, Niner University Elementary.

Minimum Education/Experience:

Required Minimum Qualifications:

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:
Four-year degree in a related business function; or an equivalent combination of training and experience.

Essential Job Duties:

Administrative and Organizational Task:

-Assists the Principal with the operations of Niner University Elementary
-Participates in duties related to the administration of the office, assisting in preparing comprehensive reports and recommending improvements in work flow, procedures and use of equipment and forms
-Assists with the organization and implementation of the procedures for the opening and closing of school for staff and students
-Maintains such student and financial records and reporting as shall be required
-Maintains daily teacher attendance log and substitute records
-Collects and inputs data to enroll students and manage daily attendance
-Maintains clerical records for school activity accounts and submit monthly summary
-Manages and oversees arrangements for personnel substitutes, including use of automated substitute system, report verification and training on system use
-Maintains all administrative and staff files
-Maintains copier maintenance and monitors staff usage
-Processes attendance and payroll for building staff
-Processes, monitors, and maintains records of the following: purchase orders, field trip requests, timesheets, office equipment maintenance, work orders
-Maintains a working knowledge of the Family Educational Rights and Privacy Act regulations and serves as school’s point person for articulation and adherence to guidelines
-Assists with safety audits
-Responds to emergencies, such as bomb threats and lock downs
-Insures compliance with federal, state, local and school system rules and regulations.
-Prepares reports, handbooks and agendas.
-Serves as a personal and confidential secretary to the Principal/Director, type letters, memos, and composes correspondence and maintains electronic mail.

Financial Duties:

-Processes supply and equipment purchases, manage vendor contracting, sole source justifications, and bid procedures
-Processes maintenance requests or other facilities management repairs or complete space management updates
-Monitors and reconciles the NUE budget and tracks travel and office expenditures
-Compiles and submits a variety of weekly, monthly and year end reports as required, ensuring accuracy of budget balances.
-Receipts and deposits all monies collected from teachers and club advisors. Maintains and reconciles the general, club and athletic checking accounts.
-Reconciles and inventories all teacher receipt books. Receipts and deposits all monies collected from staff. Makes daily deposit to bank.

Customer Service:

-Answers telephone, routes calls, takes messages, provides routine assistance and information to the caller, logging phone calls as appropriate
-Routes and distributes incoming mail, correspondence, and other material to school staff
-Greet visitors, determine appropriate level of access to the school and maintain visitor log-in records
-Utilizes positive human relation skills to interact with teachers, administrators, other staff, students and parents in fulfilling requests for assistance as appropriate
-Maintains a professional, organized and efficient work flow and atmosphere despite frequent distraction and interruption

Other Work Responsibilities:

-Assists student discipline and/or supervision in building, on field trips or at special events
-Assists and orients substitute teachers and the training and monitoring the work of student assistants
-Provides basic nursing care in the absence of the school nurse, such as administration of prescription medications and first aid
-Initiate position requests or updates and assists with hiring actions, ensure timely and complete performance reviews
-Operates office equipment in performing assigned duties; ensures that necessary repairs are made as needed
-Prepares reports, gathers, assembles and summarizes information and data
-Performs special projects and assignments as requested
-Creates and maintains bulletin boards
-Opens, sorts and distributes incoming mail.
-Trains staff and club advisors for all financial procedures and regulations.
-Maintains proficiency in technology and attend training as required as well as train others.

Departmental Preferred Experience, Skills, Training/Education:

Office/Administrative experience in a University or school setting
-Experience monitoring and reconciling budgets
-Knowledge of office management systems and procedures
-Excellent time management skills and ability to multitask and prioritize work
