Position Summary:

Reporting to the Projects for Peace Program Director, this position manages everyday operations by providing administrative and technical expertise. The coordinator will provide a high level of support to internal and external stakeholders while ensuring compliance with college administrative procedures. The coordinator is expected to manage multiple processes for the program and to serve as a key liaison between Middlebury College and partner institutions.

Projects for Peace (PfP) began as the vision of Kathryn W. Davis and is a grant program intended to instill or grow a lifelong passion for peace and service in young people. PfP is externally funded and administered by Middlebury College.

This position will be based at Middlebury College.


Essential Functions:
Overall operational management and implementation of the Projects for Peace program.


General Responsibilities:
Specifically, the Program Coordinator will:
Demonstrate commitment to and support of mission of international understanding through education;

Manage public-facing office functions including communication with numerous off-site constituents;

Proactive and effective communication and relationship management with partners including guidance and support to campus liaisons;

Manage budgets using current software programs. Track expenses, bi-monthly reconciliation of P-card transactions, and create and review monthly budget reports. Prepare vouchers, journal entries and purchase requisitions. Assist Program Director and Grants Office with annual budget reports;

Maintain ongoing communication with ITS and other departments as it relates to program software needs within the overall institutional system. During periods of upgrades, work with campus partners to ensure that historical data is preserved to maintain data integrity while assessing future needs and how our program fits within a new institutional system to determine developer needs and/or system add-ons;

Direct ongoing revisions to website and social media as well as overseeing revisions to and posting of annual fillable form;
Maintain databases related to programs and constituents;

Process grant applications submitted by over 90 partner schools in preparation for review by the Program Director;

Process distribution of 125 grant awards annually;

Ensure effective production of annual reports and other communication tools;

Disseminate, collect and progress reports from grantees;

Take initiative to review current and existing practices to streamline for efficiency and create new practices;

Take initiative to create and continually update a Standard Operating Procedure manual for the position where currently one does not exist;

Performs other duties as assigned.


Qualifications
Education:

Associates degree required, Bachelor’s degree preferred.


Knowledge, Skills and Abilities:
Excellent interpersonal, organization, collaboration and communication skills, as well as energy, initiative, high motivation, and ability to work independently. Ensure regular functioning of program administration while remaining flexible and open to the unpredictable. Values diverse and inclusive educational environments. Excellent writing and editing skills essential.

Must have high level knowledge of database management, reporting systems, and project management tools. Understanding of computer applications Microsoft Office Suite, Google Drive programs, and Adobe. Knowledge of basic web editing software (e.g. Drupal) or willingness to learn. Knowledge of using social media in workplace settings or willingness to learn.

Skills developing and managing program budgets.


Experience:
At least 3-5 years of related experience is required.


Physical Demands:
Must be able to carry out computer-based work for long periods of time. Some evening or weekend work required.
