Job Description:

Type a variety of materials from transcription, written drafts and/or general instructions including but not limited to correspondence, official documents, reports, recorded statements, manuscripts, and handout or overhead materials. Input and retrieve general electronic database information utilizing a variety of software applications. Verify all typed work products and electronic data entries are correct. Maintain an up-to-date working knowledge of software applications required for job performance, and comply with internal computer user policies, procedures and guidelines.

Create, organize, maintain and retrieve a wide array of administrative files. Assure that files and file materials are organized and current. Maintain and retrieve a variety of official and/or legal records and documents. Assure that documents are guarded against damage or destruction and are easily produced. Perform photocopying duties as needed. Copy medical records, legal documents, correspondence, policies and other detailed documents as requested.

Receive telephone calls, perform office reception services and provide general information to inquiries. Receive highly confidential mail, fax and hand delivery/pick-up materials, and assure timely distribution to administrative staff. Draft responses of a routine nature. Assist in facilitating the operation by coordinating campus and official meetings and conferences, by reserving meeting rooms and preparing rooms for meetings, and by preparing meeting handout and presentation documents.

Maintain manual and electronic appointment calendars, process and distribute outgoing mail, make hand deliveries/pick-up, shred confidential material, photocopy and fax. Perform other secretarial functions as may from time to time be required.

Expected Salary:

Commensurate with education and experience.

Minimum Requirements:

High school diploma or equivalent and one year of experience.

Preferred Qualifications:

Exceptional verbal and written communication skills; basic practical knowledge of computers and typing; ability to understand and follow written and oral directions; ability to assume responsibility for multiple time-sensitive projects; ability to assess needs and prioritize; detail oriented, accuracy and flexibility are musts; self-motivating; ability to function at a professional level; ability to maintain integrity of highly confidential information.
