The Department of Anesthesiology has an opening for a full-time University Staff (unclassified) Business Services Sr. Professional (iC42 Program Coordinator) position.

Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families.  Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.  Work is performed fully independently.

The iC42 Clinical Research and Development Program Coordinator is responsible for the design and implementation of business operations in iC42 Clinical Research and Development within the Department of Anesthesiology.  This position will collaborate with the management team to develop and implement plans for the operation infrastructure of systems, processes, and personnel designed to accommodate the rapid growth objectives of iC42 Clinical Research and Development. Furthermore, the position provides financial and business support for the Laboratory and Medical Director, Research Director, Finance, Procurement and Contracts Lead and Director of Finance and Administration and will administratively support multiple areas of clinical laboratory services, industry collaborations and research activities for iC42 Clinical Research and Development.

Supervision Received: This position will be directly supervised by the Research Program Director with oversight from the Finance, Procurement and Contracts Lead. This position will indirectly report to the iC42 Clinical Research and Development Director.

Supervision Exercised:  This position will not directly supervise others. 

Examples of Work Performed:

Assist with iC42’s finances and contracts including:

  • Assist in preparation of quotes and send quotes to clients 
  • Track projects under the direction of the iC42 Clinical Research and Development Director
  • Prepare Professional Service Agreements (PSA) and route PSAs and other fee-for-service contracts through Office of Grants and Contracts 
  • Coordinate the set-up of contracts and agreements
  • Coordinate and manage confidentiality agreements
  • Prepare and send invoices to clients and sponsors under the direction of the iC42 Clinical Research and Development Director 
  • Track payments and follow-up with sponsors and clients to ensure timely payment and financial stability of the laboratory and work closely with the Finance, Procurement and Contracts lead to update on statuses of payments
  • Assist with the preparation of annual service center cost studies
  • Provide information for financial reporting \\
  • Assist with the development of business plans and projections
  • Assist with the management of equipment lease agreements on all equipment important to the operations of iC42 Clinical Research and Development
  • Assist with the management of equipment service agreements for all equipment critical to the functioning of iC42 Clinical Research and Development
  • Assist with the management of space lease, facilities and sub-tenants 
  • Help prepare and monitor Standing Purchase Orders under the direction of the Finance, Procurement and Contracts Lead.
  • Responsible for insurance and Medicare/ Medicaid billing for clinical toxicology services
  • Assist with the preparation of yearly Medicare/ Medicaid audits
  • Assist with Webspace and Capital Equipment reporting
  • Interface with supervisors on fiscal policies and stay up to date on new requirements or policy changes
Administrative duties include:

  • Support accreditation processes and renewal processes of CLIA, DEA, USDA licenses 
  • Coordinate courier services, contractors, and serve as a liaison between courier company and iC42 Clinical Research and Development  
  • Assist IT team with maintaining and updating iC42 Clinical Research and Development’s website
  • Serve as iC42 Clinical Research and Development’s Archivist.

Salary and Benefits:
The salary range (or hiring range) for this position has been established at $48,137 - $57,000

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Qualifications
Minimum Qualifications:

  • Bachelor's degree in accounting, finance, administration or related field(s) or equivalent years of experience. 
  • Minimum of 2 years of experience in administration or finance in an institutional setting 
Required: Applicants must meet minimum qualifications at the time of hire.

Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Preferred Qualifications:

  • Knowledge of CU accounting systems, accounting practices, and expenditure policies 
  • Experience working with PeopleSoft or other comparable enterprise system applications. 
  • Ability to set up data entry systems in Excel. 
  • Familiarity with university financial systems.
Knowledge, Skills, and Abilities:

  • Excellent written and oral communication skills 
  • Exceptional computer skills which includes being proficient in using numerous software applications such as Microsoft Word, Excel, Outlook, PowerPoint, Visio, Acrobat, Concur and CUMarketplace. 
  • Ability to lead and motivate team, and 
  • Demonstrated ability to plan, organize, and meet deadlines, work under pressure, and organize multiple projects or tasks.  
  • Ability to work as part of a team to accomplish the overall mission, but capable of working independently to accomplish day to day tasks. 
  • Organized and able to learn and apply tracking and monitoring systems for expenses. 
  • Strong interpersonal communication skills.
