Job Description:

Schedules and maintains calendars and ensures their supervisor stays on track with their meetings. Drafts and types routine correspondence, as appropriate. Coordinates all travel arrangements including but not limited to scheduling flights, making hotel reservations, registration for conference as directed by their supervisor. Creates detailed itineraries with all relevant travel information and provides to traveler prior to their departure. Collect and process all travel receipts and information in the myUFL system.

Academic Program Oversight
Provides administrative support to the Assistant Provost and Director of Academic Program Oversight. Maintains the record on degree program additions, modifications, terminations, and their current status in the approval/notification system. Provides training and assistance in using the Compliance Assist accreditation software and Campus Labs Planning assessment software.

Institutional Assessment
Provides administrative support to the Director of Institutional Assessment. Develops the agenda, prepares the handouts, attends the meetings and takes minutes for the Academic Assessment Committee. Keeps the listservs for the Academic Assessment Committee and the SACSCOC liaisons current. Keeps the Academic Assessment Committee fora website updated. Assists with the data review of the annual academic assessment plans. Constantly monitors the Institutional Assessment website to ensure that it is kept up to date.

External Faculty Honors and Awards
Provides administrative support to the Associate Provost for External Faculty Honors and Awards. Maintains the faculty awards database in SalesForce by researching the various institution websites and updating the database with the appropriate information. Staying on top of the award nomination deadlines and reaching out to the various colleges/departments to make sure they are meeting those deadlines to nominate faculty. Provide extensive knowledge in working with data in excel spreadsheets by manipulating the data and creating pivot tables.

Academic Support Services (Chief Bargainer)
Provides administrative support to the Assistant Provost and Director, Academic Support Services by scheduling meetings and preparing correspondence. Receives and maintains the grievances regarding violations of the collective bargaining agreement. Ensures that all deadlines are met by keeping the excel spreadsheet up to date. Schedules and attends the collective bargaining sessions for the United Faculty of Florida and the Graduate Assistants United, takes minutes and/or records the sessions.

Serves as backup for the Administrative Support Assistant III in his or her absence.

Expected Salary:

$38,900-$50,500

Minimum Requirements:

High school diploma or equivalent and seven years of relevant experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications:

  • Administrative experience and familiarity with the roles of academic leaders (chairs, directors, and deans) in order to effectively and proactively provide the level of professional assistance.
  • Excellent written and verbal communication skills necessary. Excellent computer skills with demonstrated knowledge with learning new programs and competence in project management skills. Excellent interpersonal skills necessary.
  • Maintain strict confidentiality at all times and a willingness to perform administrative services such as answering the phones, making calls and recording/taking minutes. Interact with the public in a sensitive and professional manner.
  • Must be punctual and maintain an excellent attendance record.
