Administrative Specialist I - College of Law

Regular Part-time (75%), Par Range MR03

The Administrative Specialist I, a 75% time position, provides day-to-day support in the Office of the Dean within the College of Law.  The candidate will perform tasks to include telephone coverage, greeting visitors, and ensuring that all external constituencies are directed to the proper department. The Administrative Specialist I manages building maglock access for all students, faculty and staff.  The position coordinates the building schedule of operation, assigning appropriate access during holidays, after-hours, and during special events.  The Administrative Specialist serves as the College liaison with Central Alarm.  An important role that the candidate will assume is to serve as the primary event coordinator for the College of Law and work with the Assistant Dean of Finance, Administration, and Operations to stay within budgets and follow university policies and procedures. The audience and purpose of the events vary, but include faculty forums, student organization events with guest speakers, and large annual banquets. This position works closely with the Administrative Coordinator to ensure a constant and professional presence in the Dean's Suite.  The College of Law is seeking candidates who have the ability to contribute in meaningful ways to the diversity and intercultural goals of the college and university.



Qualifications
Requirements:

Education:  High school diploma with one year of professional office experience required.  A candidate with an Associate’s or Bachelor’s degree is preferred. To receive full consideration, please attach a resume along with the application submission.

Experience:  One or more years of reception or administrative assistant experience in a professional office, especially higher education or a law firm is preferred.  Experience in event planning is a strong preference, as well as the ability to build rapport with various constituencies and the ability to write persuasively.

Job Skills:  The candidate should possess the following skills:  exemplary people skills; the ability to be friendly, dedicated, and attentive to detail; has an aptitude for problem-solving; the ability to work independently and stay on task; outstanding written and oral communication skills; capability to work collaboratively; the aptitude to meet deadlines and to multi-task; experienced in use of MS Word, Excel, and Outlook programs; and proficient in editing and proofreading skills.
