Administrative Support Assistant II - Career Development & Academic Exploration

Regular Full-time, Pay Rage MR03

The Administrative Support Assistant has great impact on the department as the first point of contact for
anyone who calls the department or visits the facility. This position is responsible for directing students,
employers and the public to the appropriate person, place, or resource within the department. Other staff
members rely on this person to correctly schedule their counseling appointments. Additionally, students
from across the campus utilize the department and routinely call, email or visit the office. The
receptionist is often the person who initially assists them and answers their questions.


Position Responsibilities:
1. Oversee front desk operations including: Answer a multi-line phone and direct calls to the
appropriate staff member or inform callers about departmental services. Schedule counseling
appointments for 15 staff members. Greet visitors and provide outstanding customer service.
Register students, employers and alumni into Hire-A-Vol, an online job database/resume database
system. Monitor a departmental email account and respond to inquiries.
2. Train and supervise 4-5 student assistants who provide reception support.
3. Responsible for ordering departmental office supplies using a procurement card. Also keeping
accurate records and documentation of purchases.
4. Responsible for various administrative assignments for staff such as data entry for Hire-A-VOL or
event preparation
5. Complete various office projects involving Word or Excel; provide administrative support to the
staff and Director



Qualifications
Required Qualifications:
Education:
Must have a high school diploma. Additional education is helpful.


Experience:
One year experience in a customer service related position and/or administrative services position.


Knowledge, Skills, & Abilities:
Answering a multi-phone line with good communication skills,
Convey excellent customer service and have a positive, professional demeanor and appearance.
Computer skills such as Outlook, Word, Excel
Confidentially and safety of sensitive information is of utmost importance in this position.
