Departmental Overview

This position administers the day-to-day operational aspects of the undergraduate and graduate programs in Civil and Environmental Engineering (CEE) program, providing departmentally-related support services to students, College staff, and faculty, and serving as a point of contact for individuals, groups, and organizations within and outside the University.

The position advises students, manages recruitment activities to attract students, as well as admission activities to produce yield. Working with the Chair, this position is responsible for the administration of Engineering Science funds, requirements, curriculum, faculty engagement, and program history such as student populations, growth, etc. Working with the Director of the Academic Affairs Office, advises on graduate admissions, student employment, fellowships, and student progress.



Responsibilities

**Provides a range of student services to the diverse student population served by the organization**

30% Graduate Admissions and Recruitment: Graduate Admissions and Recruitment: Works with the Graduate Student Advisor, supporting the functions of the admissions process, such as admitting applicants and evaluating admissibility. Works with CEE front desk and work study on procedures involving communication with prospective students and public as well as GPA calculations and admissions procedures. Compose memos for exceptions. Assist faculty in recruiting diverse students, including coordinating recruitment events such as Grad Info Night and Spring Visit Day.

25% Communications: For the undergraduate Engineering Science, CEE and graduate CEE students, serves as the hub for communications such as weekly community newsletters and other communications or publications. Assists with outreach to students, online forms, community-building activities.

Organizes ES orientation, faculty advising night and other continuing student events, ensuring that all areas/department are represented, and the faculty are well informed for a high level of student success. Makes recommendations for and implements improvements approved by ES faculty. Sends out ES community newsletter and assists students and groups in community-building activities.

20% Financial Aid and Fellowships: With the faculty and admission designates, administer the granting and processing of financial awards for incoming and continuing students. Maintain financial records and monitor spending of block grant allocations. Process scholarships and fellowship monies, maintain financial records, and monitor spending. Provide periodic summary reports regarding block grant awards, fellowships, Professional Degree funds and scholarships to the unit manager and the Vice Chair for Academic Affairs. Reconcile awards made with Graduate Division, the Department and the College Development Office. Maintain knowledge of online CalCentral in order to assist students in resolving billing problems as they arise. Work with other university units to reconcile unapplied payments, outstanding debits and fee remissions.

Work with Fellowships and the International Office to resolve funding issues for continuing and entering students, domestic and international. Assist international students who are facing Homeland Security and visa problems. Work with students to develop funding plans for their years of study.

Administers the recruitment of academic student employees (GSI & Readers), oversees processes for equitable assignment of GSIs, and coordinates GSI assignments. Coordinates Outstanding GSI awards.

10% Recruitment and Admissions: Assists with ES department's recruiting efforts for admitted freshman, assists with high-visibility student events, such as Commencement, Cal Day, Community College Day, and miscellaneous informational workshops for students. Helps coordinate ES faculty participation in these events, many whose appointments are in different departments (Math, Statistics, Physics, Environmental Engineering and Energy).

10% Back-up Scheduler and Enrollment Manager: Serve as back-up scheduler for CEE and Engineering. Process routine changes in course enrollment, schedule changes, assist in problem-solving student issues.

5% Web site management: Monitors ES and CE department web sites relative to undergraduate and graduate matters, making corrections to department website. Coordinates with the ES Chair, graduate and undergraduate advisors on the updates of the website. Enter graduate data; miscellaneous tasks as assigned.


Required Qualifications

**This is a six-month contract position**
  • Working knowledge of advising and counseling techniques.
  • Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance.
  • Ability in problem identification, reasoning.
  • Ability to develop original ideas to solve problems.
  • Interpersonal skills. Multicultural competencies; ability to work with diverse populations.

Preferred Qualifications
  • Bachelors degree in related area and/or equivalent experience/training.
  • Successful completion of FERPA Training.
  • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.

  • This is a six-month contract position. Contract positions may be extended based on operational demand. Contract positions are eligible to participate in the health and welfare programs offered by UC Berkeley.
  • Salary commensurate with experience.
