POSITION SUMMARY
To provide a wide variety of highly responsible clerical, training, on-site/ off-site proctoring duties requiring a high level of discretion; to provide professional, effective, and efficient customer service assistance to students, faculty, college personnel, and external stakeholders. Serves as primary support to Testing Services and back-up support to Academic Intervention and Accommodation Services Secretary, related to testing needs and assisting with operational details which involve high levels of confidentiality. May be involved in the staffing, training, on-boarding, and supervision of part-time testing employees. Considerable judgment, initiative, and independent action in establishing or adapting work procedures to new situations are required. Work requires knowledge of the policies and procedures within the Department and College Systems. Ability to travel to other campuses, centers, and off-site testing locations is required.
ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1.Assist Supervisor with coordinating day-to-day operations for Testing Services. Review office procedures and suggest necessary changes.
2.Triage testing questions, troubleshooting, test administration processes, and testing center related issues for all Testing Services Assistants. Assist the Supervisor with process improvement and external representation of Testing Services.
3.Serve as liaison for Disability Services and assist with proctoring needs and training for students requiring testing accommodations. Collaborate with Disability Services to coordinate testing accommodations for JJC students and community testers.
4.Provide exceptional customer service to all visitors including students, faculty, staff, and community members. Assist students with disabilities providing general assistance as needed. Receive and direct visitors, handle phone calls, take and relay messages, provide requested information, and distribute mail.
5.Assist with manual entry and batch upload of testing scores. Support Director and Supervisor with testing changes and updates, including all phases of testing, implementation, and communication.
6.Research, compile, and analyze information as necessary to assist with test administration decisions and reporting. Collect departmental documentation from staff.
7.Coordinate and proctor placement testing at local high schools. Maintain records of scheduled testing. Serve as primary point of contact for off-site placement testing proctoring, and complete related tasks.
8.Document complaints, inquiries, and other concerns, and propose solutions to promote a culture of continuous quality improvement.
9.Assist with scheduling, reporting, and maintenance of Testing Services’ appointment and scheduling system.
10.Collaborate with Disability Services to coordinate testing accommodations for JJC students and community testers.
11.Assist with the creation and maintenance of Testing Services procedures, policies, and compliance-related documentation/ manuals.
12.Under the direction of the Supervisor, maintain and update general Testing Services communication. Monitor and update the Testing Services website, voice messages, email messages, department templates, and internal/ external flyers, etc.
13.Assist the Secretary of Academic Intervention and Accommodation Services with ordering testing supplies, units, invoicing, and payments.
14.Participate in staff meetings, in-services, and trainings as may be required.
15.Work collaboratively with other departments and/or vendors. Represent Testing Services as requested by Director or Supervisor.
16.Assist with proctoring needs at all times and perform related duties as assigned.
1.High school diploma or equivalent.
2.Three (3) years of progressively responsible office and/or administrative support experience.
3.Two (2) years of related testing/monitoring experience.
4.Extensive personal computer skills and a thorough knowledge of several software applications including Microsoft Office, email, and Internet.
5.Attentiveness to detail, excellent organizational skills, initiative, multitasking, math aptitude.
6.Strong verbal and written communication skills, customer service skills, and ability and willingness to work cooperatively with a diverse population.
7.Ability to travel between campus locations and to community events.
