Information Process Coordinator

Job Summary:

The Information Process Coordinator is responsible for the input of all related invoices for office supplies, equipment rental, and other data into the Banner system for processing by the Accounts Payable department.

Essential Duties and Responsibilities:

•Enters all office supply vendor invoices with approved purchase orders to ensure receipt of goods, and accurate payment.
•Confers with vendors to ensure timely payments and resolve invoice issues, as needed.
•Assigns a document number to all requests for payments and assigns a payment date to the payment request based on due date of item being paid.
•Forwards all request for which budget funds are not available, based on entry into Banner system to the Accounts Payable Supervisor for further review in accordance with College policies and procedures.
•Communicates with various campus departments as necessary to resolve vendor payment issues.;
•Prints account inquiries and confer and/or distribute to requesting party.
•Provides customer feedback on the status of their payments and provide verification to the bank when requested.
•Assists with check disbursement in the absence of the Accounts Payable Accountant;
•Expedites rush on all utility payments;
•Provides general administrative duties such as copying and filing documents when needed;
•Tracks all travel advances to ensure that travel advances are followed by an approved travel expense report.
•Verifies all receipts and appropriate documentation for all travel expense reports.
•Develops a spreadsheet of monthly recurring vendor payments (utilities) to ensure payments are made timely.
•Conducts a monthly review of invoice tracker to ensure vendor payments are processed timely.
•Provides assistance with student and parent refunds.
•Provides back-up in the absence of the Administrative Assistant.

Required Qualifications:

High school diploma and two years of work experience in a business environment is required. A bachelor’s degree preferred.
This position requires strong customer service focus, excellent communication, verbal and time management skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential.

Excellent oral communication skills are required when providing information and responding to questions from students, parents, employees, and the general public in one-on-one or group situations. Also, must be able to read, analyze, and interpret documents. Good proofreading skills and attention to detail are essential.

This position requires basic level skills in specific Microsoft Office applications and may require intermediate or advanced levels in one or more applications. In addition to producing correspondence, duties may involve assignments that require creating spreadsheets using formulas, tables, creating newsletters, and the use of Lotus Notes, MS Office Suite, Ellucian, and Banner Financial Module. Requires the ability to type at least 45 wpm and operate a 10-key calculator.
