General Summary of Position:

Under the direction of the Manager of Undergraduate Enrollment and Advising, the GPS Undergraduate Enrollment Advisor provides personalized case management and support to an assigned student population throughout the matriculated student academic lifecycle. Enrollment Advisors are responsible for evaluating students' academic progress; providing guidance in determining students' academic interests and objectives and helping students to locate and navigate the resources they need to successfully complete their degree programs. The Undergraduate Enrollment Advisor will also assist with projects and initiatives that support the achievement of departmental goals. Actively contributes to deliver a working environment that promotes optimism, collaboration, respect, solutions focused dialogue, and exceptional service to everyone.

Essential Job Duties:

Advising, Enrollment and Student Service:

  • Provides comprehensive academic advisement to non-degree and/or degree seeking students
  • Helps assigned students to plan and map out their path to degree completion
  • Participates in outreach efforts to re-enroll students each semester
  • Demonstrate skills and qualities that support a student-centric, customer service focused culture
  • Builds advising relationships and case management with students within assigned caseload and degree programs
  • Replies to students’ inquiries and questions in Salesforce in a timely manner
  • Maintains current knowledge of courses/majors offered, prerequisites and graduation requirements, university procedures, rules and regulations, and other student services
  • Documents student services and case management records in CRM and utilize all required systems including PeopleSoft, Document Imaging, Skype, Zoom etc. Answers student emails and inquiries over the phone and general email queues
  • Adheres to all established Service Level Agreements (SLA’s)
  • Works with GPS Admissions to ensure a streamlined student experience
  • Supports all GPS staff with degree program knowledge and expertise
  • Collaborates with The Solution Center, Career Services, Registrar, Admissions, and other campus offices to resolve barriers to success and ensure students receive timely information, support and guidance
  • Retention:

  • Maintains awareness and knowledge of annual enrollment targets and priorities
  • As part of improving enrollment targets, the advisor will focus on monitoring and improving student’s retention
  • Actively participate in proactive outreach and degree planning to support student retention and success
  • Monitors early warning grades, degree benchmark completion, and general student progress
  • Monitors student progress in order to intervene, guide, and recommend solutions to academic difficulties
  • Collects retention-related student data for periodic reports and will track and report on progress towards retention and enrollment targets throughout the year, will identify areas of concern in regard to enrollment and retention and will suggest and then develop plans to address enrollment concerns
  • Additional Responsibilities:

  • Assist with the training of new hires on advising responsibilities
  • Collaborates with website design team and marketing to ensure that website information is updated and correct
  • Helps to promote marketing campaigns
  • Actively seeks professional development opportunities specific to and complementary to your job functions

  • Working Conditions:

    The candidate will work one 11:30 to 8:00 p.m. shift per week and on all the other days, they will be working 8:30 to 5:00 p.m. with flexibility to work additional evenings and weekends as business needs dictate. This is an on-site position located at the UML campus. General business hours are Monday – Thursday, 8:30 a.m. to 8:00 p.m. and Friday, 8:30 a.m. to 5:00 p.m.

  • Advisor will make recommendations regarding strategies for connecting with students and meeting these enrollment targets
  • Reporting accuracy is important in estimated budgets and enrollment trends
  • Providing a high quality, service focused environment conducive to the success of all GPS students, faculty and colleagues
  • Frequent contact with staff, students, faculty
  • Minimum Qualifications (Required):

  • Master’s degree plus 4-6 years of experience providing student advising or counseling services
  • OR

  • Will consider candidates with Bachelor’s degree with 6-8 years of directly related student advising experience for online college level students.
  • AND

  • Experience working as an advisor for online college level students preferred
  • Able to master the various technology used by the department including but not limited to: Internet based phone system, Student Information Systems, CRM and others
  • Ability to motivate and engage students in persisting and completing their programs
  • Ability to model outstanding student centered, customer service focused department culture
  • Must be comfortable with making frequent phone calls for enrollment purposes and student support
  • Demonstrated ability in the use of spreadsheets as well all components of Microsoft Office
  • Demonstrated ability to handle multiple tasks simultaneously and work independently
  • Excellent organizational and customer service skills. Requires independent thinking as well as following established University guidelines
  • Works with supervisor, faculty coordinators, and faculty as needed

  • As part of the Academic Advising team, the services you provide will impact the bottom line of GPS operations and are essential to the healthy growth of GPS enrollments and overall student success
