Departmental Overview

The University of California, Berkeley, is the preeminent public university in the country. We are also one of the leading employers in the San Francisco Bay Area. We are currently seeking an Events Assistant in University Relations.

External Relations is responsible for the comprehensive planning, strategizing and implementing of a variety of events for the campus. These events include cultivation and recognition events for donors and friends of the University, the Chancellor's signature events, and university ceremonies. The Events Assistant will provide comprehensive support for the development programs and university ceremonies and will be supervised by the Director of Administrative Operations.



Responsibilities
  • Program Representation
    • Serve as a staff host at selected events planned by the unit, greet guests, and troubleshoot throughout the event
    • Coordinate details of events with campus academic and service units
    • Establish and maintain list of active outside speakers available to campus and community groups
    • Organize reservations and ticketing for events
    • Receive, coordinate, and process written and telephone responses
    • Assist on matters pertaining to protocol and university ceremonies
    • Perform other duties as assigned
    • Web Design
  • Financial Recordkeeping and Budget Maintenance
    • Oversee income and expenses and create an expense report for each event
    • Prepare required forms and invoices, for process through the business office, troubleshooting when questions or problems arise
    • Place orders with campus and outside vendors
    • Balance budget by maintaining the cost center and expense elements
    • Establish blanket purchase orders for regular vendors
    • Provide financial reports
    • Prepare all materials for allocating funds for commencement ceremonies
    • Track all financial records for commencements
    • Perform other duties as assigned
  • Event Support
    • Establish and maintain databases tracking event acceptances and regrets
    • Assist in coordinating invitation lists
    • Address, stuff, stamp, and seal envelopes
    • Create and produce name tags, place cards, and signs
    • Maintain past event files and records
    • Assist the Associate Directors on all issues and provide back-up support to the unit
  • Clerical Support
    • Provide clerical support such as faxing, copying, and filing
    • Perform other duties as assigned



Required Qualifications
  • Comparable experience in a similar environment
  • Demonstrated organizational skills to handle multiple, changing, and sometimes conflicting priorities
  • Demonstrated communication skills including successful interpersonal skills to handle a variety of personalities with diplomacy, tact, and sensitivity
  • Keen attention to detail and accuracy in data entry
  • Working knowledge of the Macintosh platform and Microsoft Excel and Word software
  • Ability to lift boxes of 20 pounds and willing to move equipment and supplies around campus
  • Ability to perform some evening and weekend work
  • Working knowledge of FileMaker Pro (or other database program)
  • Working knowledge of Zoom.us
  • Basic video editing and web application skills.



Preferred Qualifications
  • Working knowledge of InDesign
  • Familiarity with campus policies and procedures
  • Event experience dealing with VIPs
  • Working knowledge of Salesforce Marketing Cloud

Salary & Benefits

The hiring salary range for this position is $30,588 - $40,000.
