Position Highlights:

The Records and Registration position, located on the Phoenix campus, works with the College of Medicine - Phoenix Registrar to develop and implement strategies, systems, processes, learning experiences and networks that support achievement of desired academic and career outcomes including the overall student experience. This position will assist students in successfully integrating into the institution's environment and thriving personally and academically by providing registration implementation services, managing student records, and implementing and enforcing instructional, professional, and legal standards and regulations related to academic records.

Duties & Responsibilities:

Oversees the creation, updating, and maintenance of course and class data in PeopleSoft. Understands the impact of changes to courses and sections based on semester, time of year and type of change. Analyzes and troubleshoots problems related to registration.

  • Course schedule and section maintenance.
  • Registration assistance.
  • Serves as a backup for the College of Medicine-Phoenix Registrar.

Oversees the creation and/or distribution of academic documents such as official transcripts, certifications of degree, enrollment verifications, letters of good standing, licensing and other related materials that support student success.

  • Fulfills online transcript orders.
  • Responds to student, alumni and stakeholder requests for documents.
  • Uploads documents into external systems.

Interacts with key stakeholders to identify need and initiate affiliation agreements with external sites. Makes informed updates and changes based on understanding of relationships and impacts.

  • Initiate, coordinate, track and audit new and existing affiliation agreements.

Ensures data is accurate and updated in a timely fashion.

  • Scans, files and maintains student academic records.
  • Updates and maintains the standard operating procedures manual for the College of Medicine-Phoenix Registrar’s office.
  • Provides accurate reports upon request.

Minimum Qualifications:

  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 5 years of relevant work experience is typically required.

Preferred Qualifications:

  • Past experience within Higher Education.
  • Previous experience within Customer Service.
  • Proficiency in Excel and Microsoft Office.
  • Experience with PeopleSoft.
