Job Description

Reporting to the Executive Assistant, the Administrative Assistant will provide support to the Office of the H. Carton Rogers III Vice Provost and Director of

Libraries. Primary responsibilities include serving as the primary receptionist and work closely with the Executive Assistant managing the Vice Provost's office, which involves coordinating schedules to ensure the office is staffed at all times, greeting guests and interacting with visitors, and maintaining the Director's schedule. This position is also responsible for providing administrative support to members of the Vice Provost's office, in the form of calendar management and arranging meetings, processing reimbursements, and scheduling travel. Working with the Vice Provost's office, this position handles confidential and highly sensitive information/issues and is to maintain the utmost discretion. Additional responsibilities include: taking minutes for various library meetings; assisting with mailings and office correspondence.

Qualifications:

A High School Diploma or GED and 3 years to 5 years of experience, or equivalent combination of education and experience, are required; Bachelor's

Degree preferred. Familiarity with libraries, particularly research libraries is a big plus. Knowledge of Microsoft Word, Excel and their Google Drive counterparts required; knowledge of Outlook required; experience with Adobe Illustrator and InDesign preferred. Candidate must possess the ability to handle complex and highly confidential materials in a professional manner. Ability to demonstrate good judgment and communication skills, both written and oral, when working with senior staff, faculty and administration.
