The CU Dental Care Clinic (CUDT) has an opening for a full-time University Staff (unclassified) Administrative Assistant II position.

Job Summary: 

The position exists to manage and operate the Information/Reception areas.  Triage and direct phone in/walk-in inquiries and facilitate efficient and professional patient, student, faculty interaction.  Greet and register new patients in Axium computer program system and print data verification forms for comprehensive care groups, International students’ groups and financial office.  Screen new patients for treatment:  interprets and explains policies and procedures for release of School of Dental Medicine records.  Schedule all students requested appointments, written correspondence for new patient screening orientation.  

Decision Scope:  

  • Decides which patient concerns or inquiries need to be passed on to the clinic director, office manager, resident or faculty.
  • Must use common judgment when dealing with patients on a daily basis 
  • Know when to seek assistance with a patient conflicts (i.e. missed appointment, scheduling issues).
  • Follows established policies and procedures related to patient records and release of dental records.
  • Complies with HIPPAA regulations regarding patient information, correspondence and communications.
Working Schedules

  • Position may be assigned weekend and/or evening shifts
  • Position may be assigned a 4/10 work week schedule
  • Examples of Work Performed:
Front Desk Reception/Phones – 90% (Essential Function) 

  • Greet and assist phone and walk-in customers.
  • Pages students, staff and faculty and takes messages as necessary
  • Provide exceptional customer service to the 90+ patients seen daily.
  • Answer all incoming calls and disseminate appropriately to the correct person or department.
  • Handle patient inquiries and provide information regarding dental school policies.
Patient Check-In/Check-Out, Scheduling/Payment– 10% (Essential Function)

  • Greet patients and monitor patient check-in and check-out.
  • Maintain and retrieve confidential patient records including updating patient information and signatures.
  • Register new patient applications in Axium computer program system and print data verification forms.  
  • Work with faculty, students, coordinators and other staff in solving scheduling and/or treatment issues.
  • Verify financial information and notify patient if payment is due.
  • Facilitates efficient and professional patient/student/faculty interaction.
  • Facilitate the release of dental records for requesting patients, legal and/or private dental practices.
  • On occasion, this position may be assigned other duties needed to help drive to the vision, fulfill the mission, and uphold the organizational values of CU Denver/Anschutz and the SDM.      
Salary and Benefits:

The salary range (or hiring range) for this position has been established at $34,752 - $38,424.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is eligible for overtime compensation.

Qualifications
Minimum Qualifications:

  • Two years of general clerical experience, which includes one year of experience working in a medical/dental environment. 
Substitution:  College or university course work, appropriate to the work assignment, may substitute for the experience on a year-for-year basis, but not for the one year of experience working in a medical/dental environment.

Preferred Qualifications:

  • Experience working with faculty, staff, and students in a higher education environment
Competencies/Knowledge, Skills, and Abilities:

  • Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, designing forms, and other office procedures and terminology
  • Knowledge of principles and processes for providing customer and personal services. 
  • Ability to efficiently organize, multi-task, and prioritize duties and tasks. 
  • Ability to work in a fast-paced, high volume environment. 
  • Excellent verbal and written communications skills.
  • Excellent interpersonal skills 
  • Bilingual in English and Spanish
  • Proficient computer skills. 
  • Ability to interpret complex rules, regulations, policies, procedures, and guidelines.
  • Ability to handle sensitive matters that require discretion and confidentiality.
