About the Job

Administrative:
Administrative support for Graduate Studies and Research Division (GSRD), Stem Translational Communication Center (STCC) and STCC Director, anticipating needs and proactively proceeding with minimal direction and strict confidentiality. Attend meetings and produce and distribute agendas, minutes and related materials. Proofread and edit correspondence and other documents. Responsible for preparing presentations, including posters and multimedia applications, for the Associate Dean and the STCC Director. Create quarterly newsletters. Manage listservs, websites, and social media accounts. Oversee operation of photocopy machines and other equipment as required.

Scheduling:
Assist with calendar management for Associate Dean, GSRD and STCC/STCC Director. Organize and maintain filing system, shared drive access, record keeping. Maintain a master calendar of all award processes and key dates and send deadline reminders. Assist with the SONA account (online scheduling software used by researchers to recruit participants and manage studies with student participants).

International Scholars:
Manage CJC aspects of Exchange Visitor program (International Research Scholars, Student Interns, and Cooperative Agreements). Process DS-2019 applications for our International Research Scholars. Work on international Fulbright applications, and international Student Intern applications. Welcome scholars on their arrival day and assist with check-in process at International Center. Follow up throughout their program and exit process at the end of their program. Ensure programs are closed at the International Center and our College.

Financial:
Manage expense reports. Receiving and processing award receipts and process expense reports for prompt and appropriate payment or reimbursement. Assist with Human Subject Payment (HSP) requests. Oversee budget, including invoicing clients, managing purchases, and dispersing seed grant funds.

Supervision/Communication:
Supervise student assistant(s) with SONA, HSPs and other administrative tasks. Representing both GSRD and STCC, interact with faculty, staff, students, and visitors in a sensitive and professional manner and handle a variety of situations readily.

Expected Salary:

$19.15 - $25.38 per hour

Minimum Requirements:

High school diploma or equivalent and four years of relevant experience.

Preferred Qualifications:

Strong interpersonal skills and a demonstrated ability to work collaboratively and effectively across divisions and in a culturally diverse environment.

Excellent verbal and written communication skills.

Excellent skills in organizing and presenting information for reports and presentations using appropriate computer programs such as Microsoft Outlook, Word, Excel, PowerPoint, and Adobe applications.
