Position Description:
The Senior Administrative Analyst (Business Office Manager) reports to the Executive Director of Financial Aid and Scholarships and supports the management team. The Business Office Manager is responsible for financial and administrative expertise and support for an array of analytical, budget, personnel, human resources, material management, and purchasing functions. The incumbent will take a lead role at the department level with on-going processes and special projects and provides administrative support to the Executive Director, Director, and Associate Director. Fiscal responsibilities include development of budgets, forecasting, reconciliation and analysis. The incumbent makes recommendations to the Executive Director and management regarding budgetary and human resource matters. The incumbent performs ad hoc and on-going reconciliation of budgetary and personnel information using appropriate campus databases. The incumbent utilizes the Student Affairs developed Financial Management Program (FMP), and will provide support as new budget initiatives are identified. The incumbent populates the Campus Budget Information Gateway (CBIG) system for the department for accounts under the incumbent's purview. The incumbent reports budget and staffing reports to the Divisional Budget Officer for Enrollment Management.
The Business Office Manager provides primary personnel and payroll expertise in support and processing using campus systems (UCPATH) including all facets of personnel and payroll administration, e.g., new hires, equity, reclassifications, transfers, merit transactions, awards, and job description and requisition processing and payroll/time sheets and special payroll processing. Provide expertise and processing support for services, goods, and reimbursement including but limited to purchasing, telecommunications, travel and facilities. The incumbent serves as the direct operational administrator and operational account manager for the support of the daily operations of Financial Aid and Scholarships staff and facilities.
