OPS Fiscal Assistant IJob Description:
Temporary part time Fiscal Assistant I will provide administrative assistance with Utility invoicing and coordination for IFAS Facilities statewide. Additional duties will include, but not be limited to, serving as the liaison for FEMA, FDEM and UF Contracts & Grants during natural disaster recovery efforts.
UTILITIES ADMINISTRATION - Using utility manager software, input and/or upload vendor invoices for payment processing. Assists project managers as need with establishing new services and disconnects of utility services. Maintains files, invoices and reports for utility services for IFAS statewide locations. Reviews and makes necessary adjustments to system using monthly audit reports. Reconciles expenditures monthly. Provides monthly reports for management purposes.
DISASTER RECOVERY EFFORTS – Serves as lead liaison with FEMA, FDEM, and UF Contracts & Grants. Efforts will help recover finances provided after natural disasters. Collect appropriate files, invoices, and information to submit to the organizations. Coordinate with Construction Project Managers to gather details about the disaster recovery efforts. Answer questions from internal and external agencies. Complete and submit reports.
OTHER – Other duties as assigned. May require use of state vehicles for travel to UF/IFAS departments on Gainesville and other IFAS Facilities statewide.Expected Salary:
$13.50 to $15.00 per hour depending on qualifications.Minimum Requirements:
High school diploma or equivalent and two years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for required experience.Preferred Qualifications:
Ability to learn UF’s PeopleSoft & accounting regulations,
Ability to learn utility management software,
Ability to work within FEMA, FDEM, & insurance processes,
Skilled in Microsoft Excel, Word, and Outlook,
Skilled with virtual communication, including Zoom and Teams,
Skilled in accurate data entry and basic budget management,
Ability to communicate effectively, orally and in writing,
Excellent customer service, time management, record-keeping and organizational abilities required,
