Overview
Print and Mail Services is well-positioned to meet the current needs of the University. The Mail Production Operator is an important element of the department’s mission to provide the University community with the highest possible quality of customer service, design, print, and production capabilities, as well as a highly accurate and efficient mail services unit to support Princeton’s teaching and research mission.
Responsibilities
Mail Production Services:
- Oversee the processing of mail preparation for material printed in the department’s digital production facility at the Forrestal Campus. This includes internal mail destined for the Princeton University campus, as well as mail sent via the following classes: 1st, Marketing, Non-profit, Periodical, and Priority to domestic and international destinations.
- Ensure all mail is processed in the most cost-effective manner to achieve optimal postal savings for University clients.
- Safely operate a wide range of automated mailing and postage equipment, which includes inkjet mail addressing machinery, mail inserting equipment, and high-speed postage application meters.
- Ensure inkjet and laser mail addresses are printed correctly with high image quality, and pass barcode quality standards as set by the United States Postal Service.
- Ensure that interior components match outside personalization on envelope for variable data match mail projects.
- Obtain final client approval prior to proceeding with mail production.
- Oversee submission of mail to pre-sort outsourced vendor to be comingled to achieve optimal postal rates.
- Enter postage values and job status in Avanti tracking system as jobs progress thru production and shipment.
- Periodically compare the department’s internal mail pricing with external mail vendors to maintain competitive industry pricing.
- Monitor balance of department’s postal funds held by United States Post Office and bulk mail pre-sort outsourced vendor.
- Oversee routine maintenance and schedule service on department’s mail processing equipment.
- Follow quality control measures that are established by Print and Mail Services.
- Organize and process completed jobs to departmental business office for final timely billing.
- Assist Print Production Operator with production of digital print material utilizing Avanti job tracking system according to job ticket specifications. This includes producing production proofs, ensuring deadlines are met, prioritizing incoming work, and ensuring customer specification accuracy.
- Perform all bindery duties on print jobs in an accurate and efficient manner. This requires skillful and safe operation of all departmental bindery, cutting, and drilling equipment.
- Follow quality control measures that are established by Print and Mail Services.
- Ensure color calibration of digital presses remains favorable on a continual basis.
- Wrap, pack, and prepare jobs for delivery to client.
- Update job status on Avanti tracking system as jobs progress thru production and shipment.
- Support Assistant Director, Print and Mail Services, with processing of documentation to assist accurate and timely job billing.
- Support Production Supervisor with manufacture of custom envelopes printed with unique logos per client specification.
- Maintain inventory of mailing supplies and process orders for replenishment.
- Professionally communicate job specifications to co-workers using excellent verbal and written skills.
- Stay current with training as it pertains to the Avanti print job management system at Print and Mail Services.
- Attend regularly scheduled staff meetings, committee assignments, and staff development opportunities, and professionally represent the Office of Print and Mail Services.
- Participate in cross training with other employees as necessary.
- Remain current with operating systems and image manipulation programs.
Qualifications
Required:
- 3 years experience processing mail in a high volume mail facility
- 3 years experience with current U.S. Post Office regulations and related mail software
- 2 years bindery and finishing experience in a printing environment. Ability to operate equipment as needed
- Strong interpersonal and customer service skills
- Demonstrated ability to work well under pressure with multiple / competing deadlines
- Demonstrated ability to work in a timely manner and maintain deadlines
- Proven ability for attention to detail, multi-tasking, problem solving, and prioritizing jobs
- Excellent communication skills
- Demonstrated ability to work successfully in both a team environment and individual basis
- Demonstrated ability to maintain high ethical and confidentiality standards
- Demonstrated ability to be flexible and successfully work in a constantly changing environment, which may require extended hours during peak times of the year
- Valid Driver’s License
- Experience with variable data and digital address sorting software
- Experience with postal list sort software
- Proficiency in working with computer applications and information systems, including Microsoft Excel and print job processing systems
- Color accuracy and calibration experience with digital print equipment
