The Office of the Chief Administrative Officer oversees the finance, human resources, information technology, space planning, and facilities at Innis. The Finance and Payroll Assistant will be a core member of this team, serving a diverse group of stakeholders and their needs. Operations at Innis include academic programs, student services, ancillary operations, advancement, library, and an engaged College governance structure. Our relationships are vital to the quality of the Innis experience and include our students, student society, and external community. This role requires someone who can appreciate our unique environment and will demonstrate a commitment to collaboration and transparency. You will also act as a back-up for other administrative functions within the Office of the CAO.

Your responsibilities will include:

  • Processing accounts payable and accounts receivable according to the University Guide to Financial Management
  • Verifying the accuracy and completeness of information
  • Monitoring, recording, reconciling and/or reporting on trust accounts
  • Preparing and/or processing journal entries
  • Processing expense reimbursements and payroll
  • Distributing incoming and outgoing mail and deliveries
  • Identifying and resolving individual financial discrepancies
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of education and experience
  • Minimum three years recent and relevant experience in payroll processing, accounting, and finance
  • Experience working with and processing data in FIS, HRIS, and other related SAP systems
  • Demonstrated experience applying accounting and payroll principles to work
  • Demonstrated experience analyzing financial data and statistics, producing reports, and identifying and resolving discrepancies
  • Knowledge of University and Innis College policies and procedures, including a demonstrated knowledge of University collective agreement CUPE 3902; experience coordinating TA and Sessional Lecturer contracts
  • Experience processing accounts payable and accounts receivables
  • Experience processing payroll and collecting all required supporting documentation
  • Experience providing administrative support, including booking rooms, ordering catering, managing supplies inventory, managing outgoing mail, and making travel arrangements
  • Demonstrated experience providing front-line customer service and appropriately referring inquiries in timely manner
  • Advanced knowledge of MS Office suite (e.g. Word, Excel, Outlook) and database management
  • Ability to multi-task and meet competing deadlines effectively, delivering results in fast-paced environment with initiative and flexibility
  • Strong organizational and administration skills; adept at managing time effectively and paying careful attention to detail
  • Strong verbal and written communication skills; demonstrated ability to explain financial concepts to a wide variety of individuals

Assets (Nonessential):

  • Professional accounting designation is an asset
  • Accounting experience related to a university ancillary operation is an asset
