VENDOR REGISTRATION SPECIALIST, ACCOUNTS PAYABLE

Job description

Occupational Summary:

Coordinate and update all aspects of vendor master data, including regulatory requirements. Perform a variety of complex accounting tasks involved in maintaining [sensitive] data related to vendor set-up that includes name, address, TIN’s, SSN’s, and taxable reporting data. Interactions with vendors and Duke departments are required.

Duties:

Assist customers, including internal Duke departments, with a variety of inquiries, vendor master data, disputed items, or other questions requiring timely and appropriate resolution.

Utilize SAP software system and Apex Analytics software to update and manage vendor master data.

Conduct regulatory compliance requirements, including sanction checks, debarment, etc.

Review IRS Forms W-8 and W-9 to ensure vendors are established appropriately and to ensure regulatory compliance.

Execute special reports for other teams in Accounts Payable and for Duke departments for use in analyzing vendor master data, sanction check and debarred vendors.

Participate in calendar year-end tasks to ensure accuracy of vendor data required for year-end tax reporting requirements.

Participate in departmental or customer meetings as needed.

Monitor, manage, and resolve assigned invoice status codes in [SAP] Norikkon.

Manage returned checks including research for reason of returned payment, obtaining and verifying the correct address and ensuring the payment is mailed with updated data.

Maintain interface with departmental and University personnel to obtain and provide information to verify or support financial records and ensure compliance with established university policies and procedures; prepare correspondence and answer inquiries regarding vendor information as required.

Perform other duties incidental to the work described herein.

Minimum Qualifications

Education

Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education.

Experience

Work generally requires four years of clerical or research experience to acquire strong skills in administrative or project research responsibilities as well as accepted office management, communications and research practices. A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement.
