Nature of Work:

The Department of Physical Medical and Rehabilitation, Physical Therapy Program is seeking applications for an Academic Services Professional. This full-time, University Staff (unclassified) position will provide administrative support, management of space and assets, and event coordination to the Physical Therapy Program, which provides programs of excellence in education, clinical care, research/scholarship, and community service to educate students to become doctors of physical therapy. There are three concurrent classes of students within the PT Program, which consists of approximately 65 students per class, 30 core faculty and staff, with additional affiliate faculty, student employees, approximately 200 outside contractors, and over 400 clinical affiliation sites. This position is responsible to provide administrative support to the program by managing space and assets, coordinating program events, and preparing data for report submission.

Examples of Work Performed:

Admissions

Advise prospective students from their early schooling, through higher education, to the submittal of applications Communicate admissions criteria with prospective students and school advisorsPresent admissions information at recruitment events; provide tours of campusAnalyze prospective student preparedness and advise the Recruitment and Admissions Committee regarding the qualifications of candidatesInterface with digital admissions programs, including PTCAS, PTAdMIT, and CU-SISReview, assess, and process prospective student applicationsMaintain admissions data and run reportsEnsure accuracy of admissions requirements within digital catalogPlan and execute recruitment and admissions-related eventsEvents Coordinator and Program Support

Work with faculty and staff for all events and related needs, including but not limited to: interviews, orientation, oath ceremony, capstone, graduation, program celebrations, recognition program to acknowledge years of service, student fundraisers, various events
  • Liaise with internal and external individuals and groups; assist with logistics
  • Room scheduling for courses and eventsSet-up, courier items, create packets, order supplies, and clean after eventsManage outside courses by ensuring contract completion, room scheduling, liaise with housekeeping and securityReport Preparation

    Attend assessment committee meetings, take minutes, process alumni and employer surveysCollect data for reports by creating and managing surveys and compiling data. Reports include, but are not limited to: Annual Accreditation Report; Scholarship Applications and Data; ACAPT & RIPPT Data Entry; State of the SchoolEnsure faculty CVs are current on the program shared driveCourier documentsCreate ad hoc surveysAdministrative Support

    Manage Program Calendar: Manage scheduling of reports, events, and meeting logistics (scheduling, room reservations, remote meeting setup, notification of members, agenda distribution, catering, etc.)
    • Assist Program Administrator with projects, including scholarships and awards, student fundraisers, and establish processes that ensure departmental compliance
    Order general office suppliesCreate booklists for studentsWork with faculty and staff on special projectsProvide cross-coverage for administrative staff as neededRoom Schedules

    Create drafts of course schedules for three, concurrent cohorts of students. Coordinate with course coordinators to ensure there are not double-booked instructorsSchedule rooms for courses and ensure there are not double-booked roomsSchedule CAPE experiences for students by working with CAPE and the Program faculty liaisonSalary and Benefits:

    The salary range (or hiring range) for this position has been established at $39,834 to $50,669.  

    The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

    The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

    This position is not eligible for overtime compensation.

    Qualifications
    Minimum Qualifications:

    • A bachelor’s degree is required, preferably in a business-related field from an accredited institution.
    • 1 year of progressively responsible experience working in an academic environment.
    Substitution: A combination of education or related experience may be substituted for the bachelor’s degree on a year for year basis.

    Required: Applicants must meet minimum qualifications at the time of hire.

    Preferred Qualifications:

      Experience working in a higher education, healthcare or academic medical environmentExperience utilizing MS Excel or similar software to manage data and create reportsExperience with event coordination, from planning to clean-upExperience working with CU systems such as CU Marketplace and EMS Web
