Administrative Assistant to the VP of Enterprise Development & Regional Ventures

Position Summary:

Provide personal administrative support and assistance to Vice President for Enterprise Development and Regional Ventures and Executive Director of Regional Operations and Ventures and assist in financial reporting.

Reporting Relationships:

The primary initial reporting relationship is to the Vice President for Enterprise Development and Regional Ventures.Has frequent contact with staff and administrators.Has frequent contact with senior leaders in the university and outside constituencies.

Education Requirements:

Associate’s degree required.

Duties and Responsibilities:

Administrative (75%):

  • Manage and maintain VP / Executive Director schedules, appointments and travel arrangements, meetings, and events
  • Daily responsibility to receive and respond to incoming calls and communications
  • Receive and interact with incoming visitors
  • Interaction with senior leaders across the university, and outside vendors
  • Prepare and edit correspondence, communications, presentations and other documents
  • File and retrieve documents and reference materials
  • Record, transcribe, and distribute minutes of meetings
  • Review and update operating practices
  • Supervise and train lower level staff as assigned
  • Complete and process required human resource paper work
  • Other duties as assigned

Financial and Administrative Reporting (25%):

Coordinate project-based work as assigned Assist all departments of the regions in the construction of the divisional budget and allocations for accomplishing divisional goals Process purchase requisitions, expense reports and approve timesheets Serve as the regional financial/operational liaison with other university financial/operational units Manage internal and external vendor contracts Conduct research, assemble, and analyze data to prepare reports and documents

Qualifications:

Experience:

  • Minimum 3 years of experience with providing administrative support with a high degree of autonomy
  • Direct experience with administrative management including general budget and project management
  • Knowledge of standard office administrative practices and procedures

Required Skills:

  • Advanced user of business software including all MS Office Suite products, including: Excel, Access queries, presentation, and graph development
  • Good organizational and planning skills
  • Experienced in information gathering and information monitoring, with attention to detail, confidentiality, and accuracy
  • Proficient in problem analysis and problem solving
  • High level of communication skills and confidentiality
