The Vice Provost for the Arts seeks to hire a Box Office Manager to oversee the day to day operations of the UVA Arts Box Office (ABO), a consolidated box office organization supporting the arts departments and programs at the University of Virginia. The ABO’s mission is to provide professional, efficient, and convenient methods of distributing tickets for social, cultural, and educational arts programs and events at the University of Virginia and the surrounding areas. The ABO prioritizes excellent customer service and careful maintenance and appreciation of both client and patron relationships. The ABO services over 250 events each year. Its contracted clients are primarily the UVA Arts departments and programs but also may include UVA student groups and other UVA and community entities.

The Box Office Manager responsibilities will include but are not limited to:

  • Oversee all aspects of the ABO’s services and operations, including the planning for and implementation of the ticketing needs for contracted clients.

  • Master computerized ticket systems to build and maintain events and seating manifests; to track participant information, attendee profiles, event registration, and subscription and ticket sales; and to train staff in these systems (ABO is currently using Tessitura).

  • Work with contracted clients to plan for and manage unique box office logistics and ticket needs for semi-annual and annual events, and to support fundraising and marketing efforts.

  • Provide excellent customer service to all University and community patrons interacting with the ABO as well as to all contracted clients to ensure their event needs are met.

  • Hire, train, schedule, and supervise a sales staff of a part-time assistant manager, 10+student workers, and 20+ temporary wage employees.

  • Oversee and document the accounting, allocation, and distribution of ticket sale revenue for all events run through the ABO.

  • Ensure cash and credit card handling, procurement, and purchasing procedures are followed and budgets are managed accordingly.

  • Oversee contracts with clients, providing each with timely and accurate updates, reports, sales summaries, invoicing, and revenue disbursement.

  • Review and audit sales and financial activity daily and reconcile accounts monthly.

  • Work with the department’s IT support partner to ensure that all equipment and operations are up to University standards as defined by information security. Including but not limited to: ensuring all ABO employees are up to date on security training; maintaining account users and equipment inventories; oversee annual review of systems, users, equipment, and access; periodic review of Tessitura access; etc.

  • Manage and operate specific computer software and systems for ticket operations ensuring that all security measures are met, and that updates are consistently enacted.

  • Other duties may be assigned.

Required Experience and Qualifications:

  • Bachelor’s Degree and at least one year of relevant experience.

  • Excellent verbal and written communication, interpersonal, and documentation skills.

  • Works well independently and is also able to manage, train, and motivate others.

  • Ability to work with multiple organizations/groups/vendors professionally and proactively.

  • Good problem solving and critical thinking skills.

  • Working knowledge of MS Word, MS Excel, MS Outlook.

Preferred Experience and Qualifications:

  • 2-3 years of relevant experience working in a box office, customer service, or arts administration field.

  • Working knowledge of a computerized box office, specifically Tessitura ticketing and components, including NScan and TNEW (Tessitura Network Express Web).

  • Prior management experience is strongly preferred with prior experience supervising student and seasonal staff and managing a budget.

  • Experience with cash and credit card handling.

  • An interest in and enthusiasm for UVA and the arts!

The Box Office Manager position often requires a flexible schedule, reporting for work on evenings, weekends, and occasionally holidays. This position may also be required to travel long distances between venues and lift, transport, and install box office and ticket sales equipment, including computers, ticket printers, ticket stock, and supplies which may weigh up to 50lbs.

Anticipated Salary Range: $55,000 - $60,000 commensurate on education and experience.
